Job Overview
Meneses Law is seeking an immediate addition to their HR team for the position of Human Resources Assistant. This role offers vital administrative support by maintaining precise and confidential employee records, ensuring compliance with policies, contributing to employee and firm engagement, and executing a range of general HR and clerical duties. Excellent organizational skills, attention to detail, and ethical conduct are essential.
Key Responsibilities
- Maintain current, accurate employee files and HR documents across platforms such as ADP Workforce Now, OneDrive, SharePoint, and other systems.
- Conduct periodic audits of HR records to verify completeness and compliance with documentation standards.
- Support employee engagement by organizing and executing events including company-wide meetings, recognition events, and holiday celebrations.
- Manage appointment scheduling and meeting arrangements, coordinating with managers and participants while confirming details and requirements.
- Provide clerical assistance for the HR department as needed.
- Adhere strictly to company guidelines, policies, and confidentiality requirements.
- Become proficient with office processes like filing, scanning, electronic filing, and mail handling.
- Effectively multitask to complete various administrative and clerical duties concurrently.
- Ensure accuracy in data entry and management within company software systems.
- Respond promptly to employee inquiries.
- Track, monitor, and reconcile data per established policies in database systems.
- Carry out any additional tasks necessary to support daily operations.
Required Skills and Abilities
- Strong proficiency with Microsoft Office Suite, MAC operating systems, ADP Workforce Now, Canva, and other relevant software tools.
- Excellent organizational and time management skills with the ability to prioritize in a fast-paced environment.
- Effective verbal and written communication capabilities.
- Demonstrated ability to maintain professionalism, confidentiality, and integrity.
- Self-driven with strong interpersonal skills and ability to collaborate cross-functionally.
- Correct use of English grammar, spelling, and punctuation.
- Proper telephone etiquette and commitment to high-quality customer service.
- Solid understanding of clerical operations including data entry, filing, and organization.
- Knowledge of record-keeping principles and procedures.
- Typing speed of 45 words per minute or higher.
Education and Experience
- Bachelor’s degree in Human Resources, Business Administration, or a related field.
- A minimum of two years’ experience in human resources and/or administrative roles.
- Proficiency in using technology and quickly learning new software systems.
- Strong analytical and problem-solving capabilities with effective task prioritization.
Physical Requirements
- This role regularly requires walking, standing, sitting for long periods, hearing, and speaking.
- Occasional stooping, kneeling, or crouching may be necessary.
- Close vision, color vision, depth perception, and focus adjustments needed for computer work.
- Manual dexterity required for operating keyboards, mouse, and other office apparatus.
- Ability to lift and move items weighing up to 10 pounds.

- Hourly pay of $20.
