Facility Specialist

About the Role

The Facility Specialist based in Dubai, UAE, holds the responsibility of overseeing all company offices, project accommodations, and associated facility services throughout the UAE. This role ensures the workplaces are safe, compliant with regulations, and efficiently managed. It involves supervising facility operations, managing vendor performance, maintenance activities, procurement, and employee support to maintain seamless business continuity while adhering to company standards and UAE laws.

Key Responsibilities

• Oversee daily operations of all offices and facilities across UAE, maintaining safety, cleanliness, security, and functionality.
• Coordinate both preventive and corrective maintenance for buildings, utilities, equipment, and infrastructure.
• Analyze workplace utilization and recommend enhancements to optimize operational efficiency.
• Manage office relocations, renovations, expansions, and space planning.
• Maintain strong vendor relationships, ensuring contractors meet company HSE policies and contractual terms.
• Handle tendering, contract renewals, and vendor assessments.
• Manage accommodation logistics for project personnel, ensuring compliance with company, regulatory, client, and HSE standards.
• Conduct regular facility inspections and oversee timely corrections for any deficiencies.
• Coordinate procurement for facility-related goods/services in line with company procedures and manage facility budgets and expenditures.
• Keep accurate asset inventories and support asset lifecycle management.
• Act as the main contact for facility-related requests, ensuring prompt resolution of maintenance and employee issues.
• Ensure workplace services enhance employee experience positively.
• Perform ongoing compliance inspections to verify adherence to health, safety, environmental, and security standards.
• Support emergency readiness, evacuation plans, and business continuity efforts.
• Keep thorough documentation and prepare periodic reports on facility performance, vendor status, and improvements.
• Identify and implement continuous improvement strategies for facility operations, cost reductions, and sustainability practices.
• Encourage adoption of digital tools and process enhancements within facility management.

Qualifications and Experience

• Bachelor’s degree in Facilities Management, Business Administration, Engineering, Operations Management, Hospitality Management, or related fields.
• Minimum of 5 years’ experience in Facility Management, Office Administration, Property Management, or Project Administration.
• Proven ability managing multiple office locations and project accommodations.
• Preferred experience in construction, engineering, logistics, industrial, or project-based settings.
• Experience working in the UAE environment is highly valued.
