Overview
Join Kids Kottage Foundation as an Executive Support Lead, contributing to a community where children receive compassionate care during crises. Established in 1995, Kids Kottage provides 24/7 shelter for children aged 0-10 who cannot safely remain at home.
Role Details
This part-time position involves 30 hours weekly from Monday to Friday, offering flexibility in daily hours (e.g., 9:00am-3:00pm or 8:30am-3:30pm) with potential for increased hours. The Executive Support Lead facilitates strategic coordination for the Executive Director, Development Director, and Board of Directors, focusing on governance, donor relations, and external partnerships. The role incorporates digital fluency and innovative technology such as AI to optimize workflows and support informed decision-making.
Primary Duties
- Manage leadership calendars, align priorities, and oversee scheduling
- Organize and prepare meetings for donors, stakeholders, and leadership with briefing materials and logistical arrangements
- Compose correspondence and create documents supporting donor engagement and leadership decisions
- Maintain and update donor management system records including profiles and interaction logs
- Coordinate donor communications, manage outreach efforts, and handle inquiries
- Foster and sustain positive professional relationships with donors and stakeholders
- Schedule board, committee, and expansion task force meetings; prepare agendas and board packages
- Record minutes, track decisions, monitor action items, and facilitate follow-ups on priorities
- Preserve board and governance documentation aligned with organizational standards
- Leverage digital tools and AI to refine workflows and boost operational efficiency
- Create and manage templates, trackers, and simple internal systems for cohesion
- Identify improvements to collaboration, eliminate redundancies, and enhance information flow via organized digital files and systems
- Coordinate administrative team scheduling and workflow alignment
- Ensure consistency in administrative procedures and provide reception support as necessary
- Maintain organized records and proactively address priorities with minimal oversight
- Undertake a broad range of projects and duties as required
Candidate Qualifications
- Background in coordination, administration, logistics, or comparable roles supporting senior leadership
- Advanced digital skills including use of CRM systems and Microsoft Office Suite
- Compliance with clear Police Information Check and Child Intervention Record Check requirements
- Experience in fundraising, donor relations, or external engagement is advantageous
- Familiarity with board governance is preferred
- Exceptional ability to multitask and prioritize independently in dynamic settings
- Excellent communication skills, both written and verbal
- Discreet handling of confidential and sensitive information
- Eagerness to embrace diverse responsibilities and acquire new competencies
- Positive, balanced demeanor bringing energy and approachability to teamwork and relationship-building
Work Environment
- Mainly based at Kids Kottage Administration Office with some flexibility for remote work
- 30 hours per week, Monday through Friday, with flexibility in scheduling and the option to increase hours
Compensation and Benefits
- Hourly wage ranges from $27 to $33, dependent on education and experience
- Full-time employees (30+ hours) receive comprehensive and competitive extended health benefits
