The Franchise team seeks an Executive Assistant to provide comprehensive support to the regional Senior Vice Presidents of Franchise. This position is vital in managing activities such as scheduling, travel coordination, expense management, and other administrative tasks, ensuring the executives can dedicate their focus to strategic priorities. The role demands professionalism, confidentiality, and the capacity to work independently.
Key Responsibilities
- Manage executive calendars and coordinate meetings across multiple time zones.
- Arrange domestic and international travel, including flight bookings, transportation, hotel accommodations, and visa processing when required.
- Conduct general administrative duties supporting daily departmental operations and facilitating inter-team coordination.
- Prepare and manage expense reports in adherence to Mastercard’s Travel and Entertainment policies.
- Oversee departmental purchases, invoice payments, and purchasing card reconciliations, ensuring compliance with budgets and financial policies.
- Plan and organize events, both on-site and off-site, coordinating with speakers, catering, venues, and other logistical elements.
- Support onboarding activities for new employees within the team.
- Prepare documentation for signatures and official execution.
- Create and update presentations, reports, meeting materials, and other communications as needed.
- Maintain agendas for recurring team meetings and manage communication for corporate application usage and compliance programs such as Access Management, Vivo, Concur, and Oracle.
- Administer ad hoc administrative projects using tools like spreadsheets or databases to track departmental information.
- Research complex topics and provide findings to executives.
- Serve as a liaison for administrative matters within and outside the organization.
- Demonstrate proficiency in Microsoft Office Suite.
- Engage in personal development opportunities based on interest and goals.
Candidate Profile
- Experience in corporate administrative roles, interacting with senior executives and high-level clients.
- Able to multitask effectively in collaborative and fast-paced environments.
- Maintains strict confidentiality and discretion in all dealings.
- Possesses excellent verbal and written English communication skills.
- Team-oriented, decisive, result-focused with strong energy and accountability.
- Experienced in navigating complex organizational structures and coordinating across different time zones.
