About Clad Pad
Established in May 2024 and headquartered at Ardglassan House, Kells, Co. Meath, Clad Pad is an innovative Irish startup specializing in magnetic protection systems for high-tech industrial construction. Founded by Eythan Kellett and Terence McGivern, the company has developed patented magnetic padding products designed to safeguard cladding and white wall panels. These reusable, robust, and sustainable panels help reduce construction waste and lower costs by replacing disposable timber and corriboard padding. Over the last 18 months, Clad Pad has rapidly expanded to become a top Irish exporter, serving clients domestically and in 12 foreign markets.
Role Overview
We are seeking a dedicated Executive Assistant to support our Chief Operating Officer (COO) and uphold the company's operational excellence. This hands-on position demands exceptional organization, proactive engagement, and ownership to ensure seamless daily operations. You will manage the COO’s schedule and communications, maintain administrative and financial workflows, and keep business operations transparent and efficient as Clad Pad continues to grow. This role requires working onsite at our Kells office.
Key Responsibilities
- Control and prioritize the COO’s email inbox, handling routine matters and highlighting urgent issues.
- Manage diary scheduling by organizing, confirming, and coordinating all meetings.
- Oversee internal administrative logistics, including document management and project support behind the scenes.
- Monitor payment activities, initiate follow-ups, and maintain clear tracking of outstanding amounts.
- Prepare and organize invoices and receipts for accounting purposes.
- Assist with planning and posting LinkedIn content for the company and COO.
- Ensure CRM data accuracy and consistency; generate weekly pipeline reports for the COO.
Candidate Profile
- Outstanding organizational skills with a proactive mindset to complete tasks without repeated prompts.
- Professional and confident communicator capable of managing email correspondences on behalf of the COO.
- Strong attention to detail in numerical and administrative tasks, especially related to invoices and payments.
- Familiarity or willingness to learn CRM systems; training will be provided.
- High level of discretion and trustworthiness due to handling sensitive company, client, and financial information.
- Self-motivated individual ready to take on increasing responsibility as the company scales.
