Role Summary
The Executive Assistant provides comprehensive, high-level administrative support directly to the President and/or CEO of Pace-O-Matic. This position involves managing schedules, communications, travel arrangements, meetings, and everyday administrative duties. The role requires a candidate who is exceptionally organized, proactive, attentive to details, and capable of managing confidential information with utmost discretion. Occasional travel requiring overnight stays is part of this job.
Primary Responsibilities
- Act as the main liaison for the President/CEO, managing communications and contacts.
- Organize and maintain calendars, appointments, and meetings efficiently.
- Coordinate travel plans and lodging accommodations.
- Compile and prepare reports as requested.
- Document meeting minutes accurately and distribute them timely.
- Maintain precise records and organized files.
- Support both internal and external communication processes.
- Assist in special projects and various administrative tasks.
- Handle confidential information with professionalism and discretion.
- Perform additional duties as assigned.
Required Qualifications
- Minimum of a high school diploma; a bachelor's degree in business administration or related fields is preferred.
- Relevant experience in similar administrative roles.
- Proficient with Microsoft Office suite including Word, Excel, and PowerPoint.
