Role Summary
We seek a proactive and highly organized Executive Assistant to support our CEO and Chief Experience Officer. This key position requires managing complex schedules, travel plans, and communications while safeguarding confidential information with utmost discretion. The ideal candidate thrives in fast-paced settings, anticipates needs, and effectively manages multiple priorities.
Work Environment and Location
The position is hybrid based in Kansas City, MO, combining in-office collaboration with flexibility. Occasional travel may be involved.
Primary Responsibilities
- Manage intricate calendars for executives, balancing priorities and preventing scheduling conflicts.
- Arrange domestic and international travel logistics, including flights, accommodations, and transportation.
- Coordinate meetings, leadership sessions, and company events, preparing agendas and capturing action items.
- Track follow-ups and deliverables to foster accountability within the leadership team.
- Handle expense reporting, manage administrative workflows like DocuSign and Uber for Business, and maintain confidential records.
- Serve as a professional liaison for internal and external stakeholders, efficiently screening and responding to requests.
- Support executive operations by managing day-of event logistics and contributing to strategic projects.
- Continuously seek ways to enhance executive workflows, organization, and efficiency.
Qualifications and Skills
- Minimum of 4 years' experience as an Executive Assistant supporting senior executives, preferably multiple simultaneously.
- Expertise in managing complex calendars and high-volume travel arrangements.
- Exceptional organizational skills with strong prioritization and follow-through capabilities.
- Excellent verbal and written communication paired with a polished professional demeanor.
- Demonstrated discretion handling sensitive and confidential information.
- Proactive problem-solving approach, anticipating and resolving issues before they arise.
- Proficiency in Microsoft and Google productivity suites, Adobe Suite, DocuSign, and expense management systems.
Preferred Experience
- Support background with C-suite executives.
- Experience in professional services, agency, consulting, or high-growth environments.
- Familiarity with EOS/L10 meeting frameworks.
Compensation
The salary range for this role is $70,000 to $80,000 per year, commensurate with experience.
