Main Responsibilities
- Partner closely with senior Partners to optimize their schedules and build trusted relationships both internally and externally.
- Manage complex and detailed calendars for senior leadership, coordinating client and internal meetings, conference calls, events, and social functions, including sending reminders.
- Organize intricate international and local travel arrangements, considering preferences and logistics.
- Manage and track incoming communications, responding to non-critical correspondence independently.
- Lead major project planning, organizing, and execution with minimal oversight, often coordinating around busy executive schedules.
- Represent Partners professionally when interacting with clients and stakeholders, maintaining strict confidentiality and fostering goodwill.
- Collaborate with Executive Assistant Managers and team members to ensure smooth workflows and timely completion of tasks.
- Maintain and organize client and internal documentation using authorized systems, and provide backup support as needed.
- Coordinate events for various internal and external initiatives.
- Prepare and submit timesheets and expense reports punctually, and monitor client financial statements and invoices as requested.
- Perform miscellaneous office tasks such as printing, mailing, and photocopying.
Qualifications and Skills
- Undergraduate degree is preferred.
- Minimum of three years experience supporting senior executives or equivalent roles.
- Exceptional organizational and administrative capabilities with a keen attention to detail, multitasking, and a strong sense of responsibility.
- Proficient typing and proofreading skills, able to create professional documents rapidly and accurately.
- High computer literacy, especially in email and calendar management.
- Exemplary judgment and discretion, maintaining utmost confidentiality.
- Advanced technical skills including expertise in PowerPoint, Word, and Excel.
- Capable of proactive role expansion beyond reactive support towards taking ownership of administrative duties independently.
- Ability to perform efficiently under pressure in a fast-paced, deadline-oriented setting.
- Excellent interpersonal abilities with a positive attitude, fostering strong relationships internally and externally.
- Professional demeanor in all communication forms including in-person, telephone, and digital platforms.
- Strong capability to prioritize and manage multiple tasks and projects concurrently.
