About the Role
Public Private Strategies, LLC (PPS) is seeking a seasoned Executive Assistant to serve as a reliable right hand to the Executive Leadership Team (ELT). Reporting directly to the Chief Operating Officer, this individual will expertly manage complex schedules, coordinate meetings, and provide comprehensive support to senior executives.
Primary Responsibilities
- Maintain comprehensive master calendars and manage appointments, calls, and meetings across the leadership team.
- Oversee the CEO's calendar, travel plans, and correspondence, safeguarding priorities and ensuring thorough preparation for all commitments.
- Adapt efficiently to a dynamic, high-demand environment where schedules often shift multiple times daily, requiring continuous reprioritization.
- Organize logistics for meetings and events proactively, handling scheduling conflicts under tight deadlines and keeping all stakeholders informed of last-minute adjustments.
- Manage sensitive information with the utmost confidentiality and discretion.
- Collaborate to prepare the ELT for meetings, conferences, and speaking engagements by assembling relevant documentation and summaries.
- Prepare meeting agendas, talking points, briefing materials, and follow-ups for internal and external engagements.
- Serve as the key liaison for scheduling requests from both internal teams and external contacts.
- Balance daily schedules thoughtfully, prioritizing conflicting demands to optimize executive time.
- Provide timely and professional communication regarding any schedule amendments.
- Anticipate upcoming events, travel, and commitments to ensure adequate preparation.
- Assist in planning and executing organizational events, stakeholder gatherings, and convenings.
- Draft internal and external correspondence on behalf of ELT members when needed.
- Ensure appropriate information flow about executives' activities to relevant staff members.
- Lead internal team meetings by collecting executive inputs and coordinating weekly, monthly, and quarterly sessions.
- Manage CRM data entry in EveryAction, particularly relating to events and executive interactions.
- Provide general administrative support including preparing presentations, meeting agendas, and assorted communications.
Candidate Qualifications
- At least six years’ experience as an Executive Assistant supporting senior executives or government officials in fast-paced environments.
- Exceptional written communication skills, capable of clear, concise writing that aligns with the executive’s tone and style.
- Strong organizational abilities with high attention to detail and adeptness managing heavy workloads under tight deadlines.
- Proficient in Google Workspace tools such as Gmail, Calendar, Drive, and Docs.
- Proactive approach with demonstrated capability managing complex international and domestic schedules and travel plans, including frequent updates and resolving conflicts.
- Composure under pressure, managing last-minute changes and multiple competing priorities in a calm and steady manner.
- Commitment to the EA career track with a desire to excel and grow within this professional path.
