Job description
Role Overview
The Executive Assistant will provide comprehensive daily executive and administrative support to the leadership team, facilitating efficient management of schedules, meetings, and communications. Key duties include calendar oversight, document preparation and organization, correspondence handling, and record maintenance related to association activities and member participation.
Key Responsibilities
- Manage and coordinate executive calendars and appointments to optimize time management.
- Prepare and organize various documents and materials required for meetings and association functions.
- Handle incoming and outgoing correspondence professionally and efficiently.
- Maintain accurate records linked to the association’s activities and member engagement.
- Prepare expense reports and process these accurately in support of senior leadership.
- Assist in event planning and logistical arrangements to ensure smooth execution.
- Facilitate seamless communication between members, partners, and internal stakeholders to maintain information flow.
- Collaborate closely with leadership on strategic initiatives while upholding the association’s values in all interactions.
Qualifications and Experience
- Proven experience in Executive Administrative Assistance, including calendar management, document organization, and meeting coordination.
- Strong ability in providing executive support, including expense report preparation and confidential document handling.
- Excellent written and verbal communication skills essential for effective interaction with members, partners, and colleagues.
- Background or experience in associations, non-profit organizations, or sectors such as supply chain and digitalization is advantageous.
- Highly organized with keen attention to detail and capability to prioritize tasks in a part-time, hybrid work environment.
- Proficiency with office productivity software (email, calendars, spreadsheets, document editors) and digital collaboration tools.
- Professional working proficiency in English is required; knowledge of German or other European languages is a plus.
- A relevant academic qualification or comparable professional experience in administration, business, or a related discipline is preferred.
