As Fluidstack’s leadership expands, this role is designed to relieve executives from demanding scheduling, logistics, and communication duties. The Executive Assistant maximizes executive efficiency by handling calendar management, travel plans, meeting preparation, and communication filtering with precision and care.

Role Details

This position operates within a shared-services model, collaborating with other Executive Assistants to ensure consistent support for leadership and smooth coverage. The role is a vital multiplier—anticipating executive needs, streamlining workflows, and enabling leaders to focus on high-impact decisions beyond administrative tasks.

Key Responsibilities

  • Within the first 30 days: onboard and observe assigned executives to understand their priorities and communication styles, take control of calendar management, and develop a communication rhythm.
  • By 60 days: independently manage scheduling, travel, and logistics, coordinate with other EAs for seamless coverage, take charge of meeting preparations including agendas and follow-ups, and proactively manage potential scheduling conflicts.
  • By 90 days: operate with executive trust to manage time and logistics autonomously, establish clear procedures for task prioritization and escalation, and identify process improvements to enhance overall EA team effectiveness.
