Position Summary
The firm seeks a seasoned Executive Administrative Assistant to support the Owner and Firm Manager with advanced administrative, operational, and financial tasks. The role demands managing intricate calendars, travel coordination, document preparation, financial support, and safeguarding sensitive information with strict confidentiality. This position requires regular travel between multiple Colorado offices and occasional other locations.

Key Responsibilities
- Coordinate and manage complex schedules and appointments for senior leadership.
- Oversee office tasks including supply management, record maintenance, and basic bookkeeping.
- Organize internal and external meetings and events, ensuring agendas, materials, and follow-ups are managed efficiently.
- Track deadlines and executive requests to guarantee timely and accurate completion.
- Prepare business correspondence, presentations, reports, and meeting materials professionally.
- Arrange domestic travel logistics including flights, accommodation, and transport.
- Act as the primary liaison among leadership, attorneys, clients, vendors, and partners.
- Proactively anticipate leadership needs and manage scheduling and administrative challenges.
- Maintain well-organized electronic and physical filing systems.
- Handle confidential financial, personnel, and business information discreetly.
- Assist with financial processes such as expense reporting, budgeting, invoice handling, reconciliations, and financial documentation.
- Support operational projects and provide assistance across departments as needed.
Required Qualifications
- At least three years’ experience as an Executive Administrative Assistant or similar role supporting senior leaders.
- Robust financial knowledge, including experience with budgeting, expense control, invoicing, reconciliations, or financial reporting.
- Outstanding organizational skills with the ability to juggle multiple priorities and meet deadlines.
- Excellent communication abilities, both written and verbal.
- High professionalism with a strong sense of confidentiality and discretion.
- Detail-oriented with problem-solving strengths.
- Self-driven with strong initiative and independent work orientation.
- Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint).
- Experience with accounting, expense management tools, or legal software is advantageous.

Additional Information
This role offers flexibility in work location with options for remote work within Colorado, hybrid, or onsite placements. However, new hires should expect substantial onsite presence during the initial 90-day onboarding and training phase. Working hours are standard 8:00 AM to 5:00 PM, Monday through Friday.
