Role Overview
The Event Technology Manager directs all technological facets of event registration, ensuring smooth functionality of registration websites, meticulous database management, and swift resolution of technical challenges. This role is pivotal in maintaining event data quality, generating required reports, and supporting the event delivery team in coordination efforts. The position may require travel for onsite events domestically or internationally.
Key Responsibilities
- Guide the user experience for both pre-event and onsite registration processes for virtual and physical events
- Lead implementation and project management of event registration platforms, apps, and event technologies
- Diagnose and correct technological problems promptly
- Manage client communications including save-the-dates, invitations, registration confirmations
- Ensure database accuracy, oversee data entry, and prepare required attendee lists
- Maintain effective communication with internal teams and clients while adhering to service level agreements
- Help coordinate logistics, production, and overall event execution with the Event Delivery team
- Organize event materials such as name badges, tent cards, agendas, and signage
- Design registration desk workflow for efficient attendee processing
- Act as primary liaison with attendees and technology vendors before and during events
- Support clients in event-related inquiries and coordination
- Develop and distribute post-event surveys to clients
- Analyze and report on registration data and event performance
- Handle relationships and contract negotiations with technology suppliers
- Review and approve third-party vendor invoices
- Identify cost-saving and value-enhancing opportunities for clients
- Train and mentor staff on current technologies and event procedures
- Keep abreast of emerging technologies, industry trends, and best practices, updating the team accordingly
Candidate Profile
- 3 to 5+ years of experience in Attendee Data Management and Event Technology, including planning and coordination
- Proficient with Microsoft Office, particularly Excel (comfortable with VLOOKUP) and PowerPoint
- Experienced with registration platforms such as Cvent, Splash, Certain, Aventri, Eventbrite
- Familiar with virtual event platforms including Intrado, GlobalMeet/TalkPoint, Zoom, WebEx, SpotMe, Concise Chime
- Knowledgeable in integrating CRM systems (Marketo, Salesforce, Dealcloud) with event registration tools
- Skilled in web programming languages like HTML, CSS, and JavaScript
- Flexible availability for working outside regular hours and traveling for onsite events or remote troubleshooting
- Strong project management capability handling multiple concurrent projects
- Excellent written and verbal communication across all organizational levels
- Up-to-date insight into suppliers, services, and event industry best practices
- Independent in creating best practices and taking on new initiatives
- Client-focused, adaptable to diverse needs and styles, proactive in fostering client relationships
- Self-motivated and innovative thinker with ability to work independently and accept direction
