Role Overview
We are looking for a highly organised and proactive Digital Event Coordinator to join our Client Success team full-time. This pivotal position is responsible for the comprehensive management and delivery of webinars, virtual events, and related client campaigns, playing a key role in connecting global life science innovators with their audiences and enhancing client satisfaction.
Key Responsibilities
- Oversee complete operational execution of our premier webinar and virtual event schedule, utilizing established procedures and working closely with the Client Success team.
- Collaborate with the Editorial team to execute Special Interest Groups, our flagship event series.
- Setup, configure, and perform quality assurance for webinars on our dedicated events platform and website.
- Manage the collection and quality verification of event materials such as speaker biographies, photos, graphics, and logos, ensuring timely receipt in coordination with internal stakeholders.
- Handle communications related to broadcasting, including sending invitations and joining details to speakers and internal teams.
- Organize and supervise speaker preparation meetings and recording sessions.
- Provide direct technical assistance during live webinar broadcasts.
- Review and ensure accuracy of webinar and campaign data reports, including metrics for registration, attendance, and engagement.
- Assist in delivering precise and prompt client reporting.
- Contribute to ongoing improvements in report processes, templates, and documentation.
- Utilize project management tools (such as Monday.com) to monitor event timelines and campaign execution.
- Maintain precise internal documents and workflow protocols.
- Identify and implement enhancements to increase efficiency, consistency, and client experience by optimizing systems and procedures.
Candidate Profile
- 12 to 18 months or more experience working in B2B settings in roles such as events, operations, client success, sales support, or project management.
- Exceptional organisational skills paired with meticulous attention to detail.
- Proven capability to manage several projects and meet deadlines in a dynamic environment.
- Familiarity with digital tools including webinar platforms, customer relationship management software, email marketing systems, and project management applications.
- A proactive and team-oriented attitude with a strong focus on customer service.
- Excellent verbal and written communication abilities.
