Overview
The Broker Sales Administrator plays a crucial role in managing and streamlining broker sales operations. This position involves comprehensive contract management, maintaining current and legally compliant client agreements, meticulous documentation, and detailed data management to support business decisions. The role also entails coordinating between sales, finance, and logistics teams to ensure flawless execution of broker sales activities.
Key Responsibilities
- Accurately prepare, secure, and manage broker-related documents such as contracts, order forms, and agreements ensuring audit readiness and client access.
- Coordinate broker sales order processing by collaborating closely with sales, inventory, and logistics to guarantee timely order fulfillment matching client requirements.
- Maintain an up-to-date client database including contact details, purchase history, and preferences to enhance tailored sales and follow-ups.
- Prepare comprehensive monthly and quarterly analytic reports on sales performance, client engagement, and revenue trends to aid strategic planning and forecasting.
- Process all financial transactions tied to broker sales, including invoicing, payments, and credit control, in strict compliance with financial policies.
- Ensure broker sales operations fully adhere to applicable Saudi regulations and international trade laws affecting these activities.
- Implement systematic client feedback collection and analysis mechanisms to improve service quality and address client issues proactively.
- Conduct periodic reviews of sales contracts to ensure legal compliance, timely renewal, and service continuity.
- Supervise inventory levels related to broker sales, conducting quarterly audits to verify stock accuracy and vehicle condition, addressing discrepancies promptly.
- Manage vehicle allocation for broker orders ensuring availability of correct models and quantities to optimize delivery logistics.
- Adjust stock in response to sales trends, customer demand, and seasonal changes to maintain optimal inventory without shortages or excessive surplus.
- Prepare detailed inventory reports highlighting vehicle availability, status, and turnover to support purchasing and sales strategies.
- Coordinate with suppliers to reorder vehicles timely based on sales data and demand forecasts.
- Maintain regular communication with broker clients through newsletters, updates, and direct contact to keep them engaged and informed.
- Organize scheduling of client services including vehicle delivery, maintenance, and repairs to ensure exceptional customer experience.
- Manage contract renewals and updates, incorporating new terms from negotiations and service changes.
- Address client issues and complaints promptly, maintaining high client satisfaction and documenting resolutions.
Qualifications and Experience
- Bachelor’s Degree in Business Administration.
- Certification as a Certified Broker Manager (CFM) is required.
- Minimum of three years’ experience in broker sales management or a related field.
- Fluency in both English and Arabic languages.
