About Center for Rapid Evidence Synthesis (ACRES)
ACRES is a registered Non-Governmental Research Organization in Uganda (Registration No: INDR163725640NB), based in Kampala. It operates as a bridge connecting science, data, research, and policy to facilitate effective policy and decision-making through institutional knowledge brokering.
Role Overview
The organization invites applications for an Administrator position responsible for managing administrative functions, ensuring smooth office operations, supporting strategic organizational planning, and maintaining compliance with policies. The successful candidate will collaborate with various teams to deliver vital administrative support that optimizes operational performance and advances ACRES's strategic objectives.
Responsibilities
- Manage and coordinate all administrative functions within ACRES, including aligning program execution with the Center's strategic directions and partner agreements.
- Act as liaison between the organization and partner institutions to oversee program administration.
- Oversee human resource activities such as recruitment, onboarding, orientation, performance management, and staff welfare.
- Ensure punctual and accurate technical and financial reporting internally and to funders.
- Prepare and implement precise contracts with partners.
- Maintain ongoing communication among team members and partners, particularly regarding events or modifications affecting program implementation.
- Support finance, procurement, and records management functions under the guidance of the Finance & Grants Manager.
- Provide periodic updates on the Center's status and activities to the Head of Operations.
- Research and disseminate information about potential funding sources and understand grant reporting requirements.
- Collaborate with technical staff to locate funding sources, interpret proposal requests, and comply with funding instructions.
- Coordinate the development, writing, and execution of grant proposals and facilitate approval processes, ensuring compliance and document management post-award.
- Track grant compliance and liaise with funding agencies and partners as needed.
- Work with the Finance team to prepare budgets, staffing arrangements, timelines, and templates for grant submissions.
- Provide technical guidance to staff regarding grant writing, adherence to compliance, and reporting obligations.
- Engage actively in team meetings and support the preparation of organizational reports.
- Maintain asset registers, conduct physical asset verification, and manage asset insurance matters.
- Perform additional tasks assigned by the Head of Office and Finance & Grants Manager.
Qualifications and Experience
- Bachelor's degree in Business Administration, Public Administration, Management, or related fields is required; a master’s degree is preferred.
- A minimum of five years' experience in administration, office management, or equivalent roles.
- Proficiency with Microsoft Office applications including Word, Excel, PowerPoint, and Outlook.
- Understanding of office procedures, records management, and administrative protocols.
- Professional certifications in administration or management are advantageous.
