About the Role
We are seeking a highly organised and proactive Administrative Assistant to cover maternity leave on a 12-month contract. This position requires providing comprehensive executive support to senior leaders while ensuring the office operates smoothly. The role involves multitasking in a collaborative team setting, handling confidential information with discretion, and maintaining an efficient administrative environment.
Primary Responsibilities
- Deliver executive and administrative assistance to senior management.
- Manage complex calendars, schedule meetings, and organize appointments efficiently.
- Coordinate domestic and international travel plans, including itineraries and accommodations.
- Prepare and process expense claims accurately.
- Support organization of internal and external events such as client meetings and training programs.
- Maintain precise records in internal platforms like Salesforce and Basware.
- Process invoices and assist with finance-related administration.
- Create reports, presentations, and other business documents.
- Oversee office supply inventory and contact databases.
- Serve as a main contact for colleagues, visitors, and external partners.
- Handle phone and email enquiries with professionalism.
- Provide reception coverage and additional administrative assistance as needed.
- Manage sensitive information with utmost confidentiality and professionalism.
Required Skills and Experience
- Previous experience in roles such as Administrative Assistant, Executive Assistant, or Office Coordinator.
- Exceptional organisational skills with the ability to juggle multiple competing priorities.
- Strong verbal and written communication abilities.
- Proven track record supporting senior executives and stakeholders.
- Confidence in managing calendars, scheduling meetings, and arranging travel logistics.
- Proficiency in Microsoft Office suite, including Outlook, Word, Excel, and PowerPoint.
- Familiarity with CRM or finance systems like Salesforce and Basware is beneficial.
- High attention to detail complemented by effective problem-solving skills.
- A professional, self-motivated mindset with the capacity to work independently.

Additional Information
