Position Summary
We are seeking a detail-oriented Administrative Assistant to join our team supporting a federal project. This hybrid role, based in Atlanta, GA, involves occasional onsite work. The assistant will provide comprehensive administrative support across areas such as finance, purchasing, human resources, and specific project or technical units.
Key Responsibilities
- Collect, verify, track, and document data from various sources efficiently.
- Manage daily operations ensuring adherence to policies, meeting objectives, and efficient project execution with corrective measures as needed.
- Maintain detailed records for evaluation and control purposes; draft correspondence, reports, and other documentation.
- Utilize MS Office Suite to prepare reports, graphs, timelines, tables, correspondence, and presentations.
- Assist staff with travel logistics including hotel research, travel requests, cost estimation, and processing travel orders in the ICAP system.
- Aid PMO/PCO with property management and administrative updates.
- Support staff onboarding and offboarding procedures.
- Provide administrative assistance to directors, portfolio managers, team leaders, and participate in scheduled meetings.
- Deliver executive administrative support and backup, specifically assisting the Deputy Director of Management and Operations.
- Perform other duties as assigned.
Required Qualifications
- Minimum of three years’ administrative assistant experience in healthcare or public health contexts.
- Strong attention to detail and document analysis skills.
- Proficient in MS Excel at intermediate to advanced levels and skilled in MS Office Suite, Teams, and SharePoint.
- Effective communication and interpersonal abilities, both verbal and written.
- Capable of working independently and collaboratively within multidisciplinary teams.
- Experience handling confidential data with discretion.
- Eligible to obtain government security clearance.
- Legal authorization to work in the United States without employer sponsorship at any time.
Preferred Experience
- Background working within federal, state, or local public health settings, especially federal government projects.
- Familiarity with federal health tools and administrative processes including purchase requests, training requests, CCPS, and VSTS systems.
- Experience managing federal travel orders and processing in CONCUR.
Education and Physical Requirements
- High School diploma plus at least six years of administrative assistant experience, or Bachelor’s degree with a minimum of three years experience.
- Ability to sit for extended periods and operate a computer.
- Occasional lifting of up to 25 pounds may be necessary.
