Job Summary
We seek a meticulous and proactive Accounting Clerk to assist with both accounts payable and receivable functions and oversee employee travel and expense reporting. Collaborating closely with the Assistant Controller on AR and cash application tasks, as well as with the Accounting Supervisor on AP and travel expenses, this role ensures invoices, payments, and employee expenses are accurately entered and timely processed in our systems.
This position is suited for a detail-focused individual who excels in a dynamic, growth-oriented environment and has a commitment to accuracy paired with customer service skills. Opportunities exist to broaden responsibilities into general ledger tasks, reconciliations, and process enhancements as the company grows.
Primary Responsibilities
- Accounts Payable: Enter, code, and record vendor invoices in NetSuite with correct general ledger, department, class, and location codes.
- Process invoices and payment requests using NetSuite and AP automation software such as BILL or Tipalti.
- Match invoices with purchase orders and receipts, resolving any discrepancies.
- Track invoice approval workflows and liaise with approvers to ensure timely payments.
- Assist with onboarding and updating vendor payment information, tax documents, and records in AP systems.
- Support departmental and vendor inquiries.
- Accounts Receivable: Post daily customer payments for wholesale clients in NetSuite and apply cash against open invoices.
- Support onboarding for wholesale customers.
- Prepare customer account statements and assist with collection follow-ups as assigned by the Assistant Controller.
- Travel and Expenses: Review employee expense reports and corporate card transactions in Ramp for completeness, proper coding, business purpose, and policy compliance.
- Follow up on missing receipts, policy exceptions, and submission errors with employees and managers.
- Support approval processes, posting, and reconciliation of employee reimbursements and corporate card accounts to NetSuite.
- General Accounting Support: Assist with routine journal entries and account reconciliations related to AP, AR, and T&E.
- Help prepare documentation and schedules for monthly closing and audits.
- Perform additional finance and administrative duties within a lean and collaborative accounting team.
Qualifications
- 2 to 3+ years of experience in accounts payable, accounts receivable, or general accounting, ideally in e-commerce, retail, or product-based companies.
- Familiarity and comfort in using NetSuite ERP systems.
- Proficient Excel skills and experience with cloud-based tools such as BILL (or similar AP workflow tools), Google Workspace, and Ramp or comparable T&E applications.
- Exceptional attention to detail with the ability to manage large volumes of transactions accurately and meet deadlines.
- Strong communication abilities and a professional, service-oriented approach with internal teams, vendors, and customers.
- Must be authorized to work in the United States and able to work standard business hours aligned with 9:00am-6:00pm EST.
