Key Responsibilities
- Manage general office and team organization including scheduling, correspondence, and filing.
- Carry out administrative tasks within the administration department.
- Assist in improving and utilizing digital tools and processes.
- Act as a liaison between the team, internal departments, and external contacts.
- Handle internal and external communication via phone and written correspondence.
- Prepare, check, and submit forms and documents both online and via post.
- Manage deadlines and follow up on pending tasks.
- Maintain correspondence including protocols and documentation of official notices.
- Review and file official documents, entering relevant data into the system.
- Organize appointments and meetings, and accompany during official visits.
- Serve as an interface between specialist departments and external agencies.
Candidate Requirements
- Completed commercial or administrative training or an equivalent qualification.
- Capable of clear and factual communication.
- Ability to work independently and with goal orientation.
- High flexibility, resilience, initiative, and commitment.
- Willingness and ability to learn new tasks and participate in training and development programs.
- Proficient use of common office software and digital form portals (e.g. internal government portals).
- Strong written communication skills and attention to detail.
- Organizational aptitude, deadline awareness, and an autonomous working style.
- Discretion and confidentiality in handling sensitive data.
- Good command of German; English skills are advantageous.
- Familiarity with MS Office applications and Jira.
