About Chess at Three Singapore
Chess at Three Singapore is part of the Story Time Chess brand, originally recognized as New York City's leading chess club for children. Launched locally in August 2023, this organization aims to introduce kids aged 3 to 12 to chess through engaging stories, interactive games, and creative play, simplifying complex chess ideas into fun learning adventures.
Role Overview
We seek a dedicated, dynamic, and highly organized person passionate about working with children and families to join our expanding team. This position involves managing operations and ensuring a smooth experience for clients and tutors in a fast-paced setting.
Key Responsibilities
- Organize staffing for various programs including school sessions, parties, holiday camps, and occasional events.
- Allocate tutors strategically balancing quality, dependability, availability, and operational needs.
- Maintain strong relationships with tutors, actively tracking their availability and training progression.
- Collaborate closely with Training and HR to sustain a healthy pool of qualified tutors.
- Distribute operational guidelines, educational materials, and work assignments to tutors.
- Respond swiftly to tutor queries, feedback, and operational challenges.
- Coordinate with Logistics and other departments to ensure seamless program delivery.
- Manage school programs from enrolment and scheduling to operational support.
- Work with Finance to guarantee accurate and punctual invoicing, elevating collection concerns as needed.
- Train and oversee virtual assistants handling billing and administrative tasks.
- Ensure consistent operation for Sunday through Thursday programs, including club activities on Sundays and Mondays.
- Identify and resolve tutor scheduling gaps proactively.
- Arrange for urgent staff replacements and maintain a backup pool for emergent deployments.
- Administer accurate and timely payroll for tutors across all programs and events.
- Oversee holiday camp execution, managing initial adjustments, student placement, staffing, and immediate problem-solving during sessions.
- Supervise the management of operational kits and materials needed across different activities.
- Support logistics during critical periods or urgent needs.
- Act as Duty Manager during Sunday club operations, including customer service oversight and quality assurance.
- Quickly address operational or customer issues and ensure follow-up on same-day trial classes.
- Maintain engagement with key influencers and VIP clients and actively encourage customer reviews on platforms such as Google.
Qualifications and Traits
- Exceptional organizational skills with the ability to multitask effectively.
- Strong communication and interpersonal skills.
- Ability to work autonomously and make informed decisions under pressure.
- Preferred experience in operations, scheduling, customer service, or educational/enrichment fields.
- Willingness to work weekends, specifically Sundays.
- A reliable, proactive team player who enjoys coordinating people and processes and adapts easily to dynamic environments.
