Project Manager

Job Summary

The Project Manager plays a crucial role supporting the Associate Dean’s Office, the Associate Chief Medical Officer portfolio, and the Physician Services Department. This position coordinates cross-functional initiatives that strategically align academic affairs, clinical operations, and the physician enterprise's goals.

Key Responsibilities

• Support academic strategy and faculty affairs by developing, implementing, and tracking project plans aligned with institutional objectives.
• Collaborate with the Associate Chief Medical Officer team to facilitate clinical quality, patient safety, regulatory compliance, and performance improvement initiatives through effective project coordination and milestone monitoring.
• Assist Physician Services with managing physician contracting, medical directorship documentation, and contract tracking to ensure consistency and transparency.
• Act as a cross-departmental project coordinator by organizing meetings, managing logistics, preparing materials, and creating progress reports and dashboards to aid decision-making.
• Manage moderate to large project teams, design project schedules, oversee budgets and resources to ensure on-time and on-budget delivery.
• Identify and mitigate risks by communicating and escalating project issues as necessary.
• Prepare project proposals and detailed status reports while maintaining organizational records such as rosters and equipment inventories.
• Coordinate meeting logistics including room reservations, materials preparation, travel arrangements, and expense reimbursements.
• Administer financial processes such as tracking invoices, check requests, purchase orders, and recharge administration.
• Support facilities and space management requirements related to departmental projects.

Required Qualifications

• Bachelor’s degree or equivalent experience in a related field.
• Minimum three years of relevant experience.
• Project management certification (PMP, CSM, ACP) or equivalent experience with quality assurance methodologies like Six Sigma or Lean.
• Solid understanding of project management principles, organizational impacts of initiatives, and ability to anticipate and plan for obstacles.
• Exceptional organizational skills and detail orientation with strong prioritization abilities.
• Effective written communication and interpersonal skills, including the ability to present persuasively to senior leadership.
• Proficiency in advanced MS Office applications such as Word, Excel, PowerPoint, as well as tools like Photoshop, Smartsheet, and Zoom.
• Experience working with diverse stakeholders, maintaining confidentiality, and exercising sound judgment.
• Demonstrated ability to manage multiple projects simultaneously, meet deadlines independently, and collaborate within teams.
• Knowledge of university policies regarding budget, accounting, personnel management, and compliance.
