Position Overview
This role seeks a meticulous Procurement Operations Specialist to facilitate procurement activities for Sales and Marketing, including managing purchase request workflows, coordinating contracts, conducting month-end financial tasks, and maintaining process documentation. Collaboration with Procurement, Finance, Accounts Payable, and Marketing teams is critical.
Key Responsibilities
- Review purchase requests for completeness and accuracy before approval.
- Manage procurement queues ensuring timely processing within SLAs.
- Coordinate contract routing and monitor approval progress.
- Communicate with requesters to resolve missing information and remove workflow obstacles.
- Escalate complex issues and document new scenarios to enhance processes.
- Address routine procurement inquiries and assist partners with procurement protocols.
- Support procurement office hours and escalation of complicated problems.
- Analyze purchase orders to ensure compliance and facilitate closures or revisions.
- Compile accruals, vendor spend, and budget data for financial reporting and variance analysis.
- Create and update standard operating procedures and workflow documentation.
- Suggest and support process improvements to increase operational efficiency.
Qualifications and Skills
- 3 to 5 years’ experience in procurement operations, coordination, analysis, accounts payable, finance, or business operations.
- Familiarity with purchase order management, procurement workflows, financial controls, accounting principles, and vendor management.
- Experience supporting Sales and Marketing procurement or contracts is highly preferred.
- Strong attention to detail, problem-solving capabilities, and excellent communication skills.
- Ability to collaborate across multiple departments and handle shifting priorities efficiently.
- Preferred experience with Zip, Ironclad, Slack, Microsoft Excel, and Google Sheets.
- Capable of developing SOPs, training guides, and knowledge base content.
Additional Information
The position is remote with an expectation that candidates be near San Francisco or Seattle offices for occasional onsite presence if needed. Candidates should be adept at thriving in a dynamic, fast-paced environment while independently managing operational responsibilities and pursuing process enhancements.
