Position Overview

The Marketing Project Manager is a crucial operational role within Insomnia Cookies' marketing team, ensuring smooth workflows and aligned efforts across campaigns, calendar management, and team coordination. This position supports the CMO as well as Brand, Integrated, and Digital Marketing teams by maintaining project integrity from inception to execution. Responsibilities include managing Asana project plans, resolving timing conflicts, anticipating risks, and coordinating collaborations internally and externally.

Key Responsibilities

  • Lead end-to-end project management for all marketing campaigns, including creative briefs, launches, and post-campaign analysis across multiple departments.
  • Create and update detailed project plans in Asana, assigning tasks, tracking milestones, and overseeing progress on active campaigns.
  • Conduct weekly marketing team meetings to assess project status, identify risks, and highlight decision points.
  • Maintain an integrated marketing calendar covering Limited Time Offers (LTOs), product drops, seasonal campaigns, CRM communications, and paid advertising.
  • Ensure alignment among Brand, Digital, Creative, PR, Social, and Influencer teams on scheduling and dependencies to avoid conflicts.
  • Identify and resolve timeline sequencing issues in coordination with department Directors.
  • Develop comprehensive timelines clarifying deliverables, deadlines, and interdependencies for all stakeholders.
  • Monitor resource allocation and capacity, alerting relevant leaders to potential shortfalls or timeline risks.
  • Manage intake for new marketing initiatives by scoping and prioritizing requests against existing plans.
  • Track marketing budgets across campaigns and vendors, monitor expenditures versus forecasts, and maintain vendor contracts, scopes of work, and purchase orders, promptly flagging budget concerns.
  • Collaborate with Finance on budgeting, forecasting, and monthly reconciliations.
  • Act as the primary operational contact for creative, PR, media, and other agencies, ensuring timely delivery of assets and approvals.
  • Coordinate asset exchanges between internal teams and external partners, overseeing review and revision cycles.
  • Maintain master lists of vendors and ensure contracts and NDAs remain valid.
  • Coordinate cross-departmentally among Brand, Digital, Creative, Operations, Culinary, and Finance teams on marketing-related tasks.
  • Facilitate approval workflows and ensure marketing materials are properly reviewed before release.
  • Keep senior leaders focused on strategic decisions by managing status updates efficiently.
  • Manage international marketing coordination with Canadian and UK teams.
  • Create and update campaign status dashboards for leadership visibility.
  • Conduct post-campaign reviews to draw process and budget insights for future improvements.
  • Ensure timely completion and distribution of recurring marketing reports.

Qualifications & Experience

  • 3 to 5 years of experience in marketing project management or agency operations with strong coordination skills.
  • Proficient in Asana, including project setup, workflow creation, dependency management, and executive reporting.
  • Experience managing complex marketing calendars spanning brand, digital, and creative teams concurrently.
  • Proven skills in budget tracking, invoice management, and variance reporting.
  • Track record of managing relationships with vendors and agencies operationally.
  • Excellent organizational abilities and a proactive approach to problem anticipation.
  • Comfortable liaising between creative teams and senior leadership to translate strategy into tactical execution.
  • Previous experience in restaurant, retail, or consumer brand environments preferred due to rapid campaign cycles.
  • PMP certification is advantageous but not mandatory; emphasis is on delivering projects punctually.
  • Bachelor's degree in Marketing, Business, Communications, or related fields is preferred.
