About the Role

The Expanded Access Program Coordinator (EAP Coordinator) will oversee the seamless functional delivery of Uniphar's Expanded Access Programs designed for Healthcare Professionals (HCPs). This role is crucial for managing diverse activities within the program to guarantee adherence to compliance standards, operational efficiency, and outstanding service quality.

Key Responsibilities

  • Manage and triage all healthcare professional inquiries via dedicated email and phone channels promptly and effectively.
  • Collaborate closely with the Project Management team to align program operations with defined KPIs and goals.
  • Support prescribing physicians and pharmacists by answering general questions and forwarding medical queries to pharmaceutical clients as appropriate.
  • Oversee qualification protocols for HCPs and hospitals in line with established SOPs and Good Distribution Practices (GDP).
  • Manage hospital and wholesaler accounts within Uniphar’s systems, coordinating with Quality and Finance departments to complete account setup and periodic validations.
  • Administer HCP registrations and patient enrollments according to the specific requirements of each program, ensuring compliance with local regulations and quality standards.
  • Work in partnership with Regulatory, Quality, and Supply Chain teams to comply with legal, importation, and application processes.
  • Process sales orders through ERP platforms for accurate billing activities.
  • Coordinate with warehouse personnel to ensure correct order picking, packing, shipment, and fulfillment documentation.
  • Manage courier bookings for timely and compliant deliveries while ensuring products are received under proper storage conditions.
  • Contribute to client reporting by compiling program metrics and providing updates on order statuses.
  • Issue invoices for orders and assist with cost updates in the billing cycle.
  • Collaborate with internal finance teams to reconcile overdue accounts and oversee payment tracking.
  • Provide administrative and project support as assigned by management to facilitate program success.

Candidate Profile and Requirements

  • Education ideally at degree level or equivalent.
  • Fluent proficiency in English plus at least one other European language such as French, German, Italian, Spanish, Dutch, or Portuguese.
  • Previous experience in the pharmaceutical sector is preferred.
  • Intermediate user of Microsoft Outlook and Excel; familiarity with ERP systems like SAP or D365 is beneficial.
  • Experience with CRM software considered a plus.
  • Exceptional attention to detail with strong ability to follow thorough processes and strict regulatory compliance.
  • Willingness to deepen understanding of pharmaceutical legal frameworks.
  • Capacity to perform well in fast-paced, highly regulated environments requiring multitasking and rapid problem solving.
  • Excellent verbal and written communication skills and a motivated team player mindset.

Work Location & Schedule

This role is hybrid-based with office attendance required on Mondays and Wednesdays at the Greenogue office in Dublin. Some flexibility for workload management across time zones and occasional face-to-face meetings is expected.
