Position Overview
Sony Music Publishing seeks a committed and highly professional Executive Assistant to provide comprehensive support to the Nashville Chief Executive Officer. This role requires someone proactive, detail-oriented, and capable of managing a demanding schedule and multiple priorities with utmost professionalism, confidentiality, and discretion.
Key Responsibilities
- Deliver exceptional, professional customer service to both internal teams and external stakeholders.
- Efficiently coordinate the CEO's dynamic international and domestic calendar, ensuring precise scheduling and resource allocation.
- Adapt quickly to changing business priorities and independently adjust plans as needed.
- Maintain confidentiality and discretion in managing sensitive documents, communications, and meetings.
- Organize extensive travel itineraries, handling flights, accommodations, local transportation, visa documentation, currency exchange, and international communication plans.
- Manage expense reporting promptly and accurately.
- Prepare confidential presentations for internal and external use.
- Plan and coordinate international conferences, including venue selection, AV coordination, agenda setting, hotel reservations, and entertainment arrangements.
- Collaborate with affiliate offices regarding international deals, copyrights, and songwriters.
- Support deal licensing processes by entering agreements into proprietary systems and finalizing necessary paperwork.
- Serve as the primary contact for maintaining and updating internal proprietary systems.
- Contribute to special projects and organizational planning activities as required.
- Perform typical administrative duties such as screening calls, directing inquiries, and managing office reception to promote a positive workplace atmosphere.
- Assist with certain personal appointments and tasks as needed.
Candidate Profile
- Minimum five years' experience supporting executive-level management in fast-paced environments.
- Exemplary service orientation with professionalism and positivity in all interactions.
- Exceptional discretion and integrity in handling complex and confidential information.
- High emotional intelligence with the ability to remain composed under pressure.
- Strong urgency and responsiveness to tasks and correspondence.
- Outstanding organizational skills with an ability to multitask effectively.
- Clear, concise communication abilities, both written and verbal, with keen attention to detail.
- Adaptability and quick learning capability.
- Advanced problem-solving skills, sound judgment, and independent decision-making capacity.
- Excellent follow-up skills to ensure completion of action items without supervision.
- Ability to work autonomously as well as collaboratively within a team.
- Proficiency in Microsoft Office applications including Word, Excel, Outlook, and PowerPoint.
- Willingness to travel occasionally.
- Authorized to work legally in the United States.
- The position follows a 7.5-hour business day but frequently requires extended hours, including evenings or late nights due to workload variability.
