This Executive Assistant position is located in Orlando, Florida with initial start in Melbourne, Florida, transitioning to Orlando by September 2026. The role involves delivering administrative and executive support to the Executive Committee (ExCom) members, performing diverse high-level tasks requiring discretion, autonomy, and professionalism.
Key Responsibilities
- Support senior executives by preparing and editing presentations, reports, spreadsheets, letters, and other communications, including KPIs and dashboards for business reviews and executive meetings.
- Manage logistics for meetings and workshops, such as scheduling video conferences and rooms, arranging catering, creating agendas, distributing materials, and setting up/clearing rooms.
- Oversee complex calendar management, resolving conflicting appointments including some personal schedule elements.
- Coordinate intricate domestic and international travel plans, creating detailed itineraries and agendas.
- Submit and monitor expense reports for executives and their direct reports, ensuring policy compliance and escalating concerns.
- Proactively assemble preparation materials for upcoming meetings to ensure executive readiness.
- Assist in planning and coordinating visits from corporate partners and customers.
Required Qualifications and Skills
- Minimum one of the following education and experience combinations: High school diploma or GED plus 6-8 years supporting senior leaders; Bachelor’s degree with 3-5 years relevant experience; or Associate’s degree coupled with 4-6 years related experience.
- Proficiency in Microsoft Outlook and Office suite (Excel, Word, PowerPoint), along with familiarity with general office equipment.
- Experience managing travel bookings and expense reporting tools.
- Excellent attention to detail with strong organizational and time management capabilities, capable of handling urgent priorities and meeting deadlines.
- Outstanding verbal and written communication skills, able to clearly convey ideas across various organizational levels.
- Business acumen to understand leadership priorities and multitask efficiently in a dynamic, interruption-prone work setting.

- The total annual compensation range for this position, including base salary and variable pay, is approximately $52,871 to $98,640 USD, subject to factors including experience and company equity.
