Role Overview
We are seeking an experienced Document Controller to join our pre-construction team based at our Dublin headquarters. The ideal candidate will be proactive and capable of managing project document control and related administrative tasks while implementing our information management processes with a collaborative and open-minded approach.
Key Responsibilities
- Coordinate and document all incoming information to the department in partnership with the bid coordination team, including tender documents, events, and meetings.
- Manage and log outgoing communications from the department such as tender submissions.
- Establish tender projects within our information management platforms.
- Control and regulate access to information management systems.
- Create essential documents for tender information control including document registers, contract document registers, and tender closeout reports.
- Examine received documents and verify them against document registers for accuracy and completeness.
- Perform varied administrative functions supporting the department such as SAP data entries and requisitions.
- Ensure adherence to ISO 19650 standards for information management.
- Maintain and update the department's standard operating procedure documentation.
Candidate Requirements
- A minimum of 3 to 5 years’ experience handling document control within construction projects.
- A degree qualification in administration or a related field.
- Familiarity with ISO 19650 information management standards.
- Proficiency in English communication is mandatory.
- Experience working with Common Data Environment (CDE) applications.
- Knowledge of Customer Relationship Management (CRM) software such as Dynamics or Salesforce.
Desirable Skills and Languages
- Experience with Bluebeam software is advantageous.
- Understanding of Building Information Modeling (BIM) technology is a plus.
- Ability to communicate fluently in German or French is preferred.
