About the Role

Beyond Eyecare is seeking a detail-oriented Billing Administrator Manager to take charge of the billing function within our optometry practice. This part-time, fully remote contractor role focuses on managing billing systems, maintaining compliance, and optimizing our revenue cycle to enable continuous delivery of outstanding eye care services. As the business grows, you will help define and upscale the billing team and processes, overseeing the relationship with our external billing vendor to ensure smooth, accurate operations.

Responsibilities

Manage and organize billing systems and processes with a dedication to compliance and continual enhancement.
Evaluate the billing department's needs as the company expands, identify support requirements, and assist with building the team.
Develop scalable procedures and documentation to establish billing best practices within Beyond Eyecare.
Act as the internal authority on optometry-specific CPT and ICD-10 coding to guarantee precise billing.
Configure and maintain billing workflows in the CrystalPM EHR system.
Supervise accounts receivable and collaborate with the billing partner to ensure timely payments and follow-ups.
Manage CAQH attestations and maintain updated provider profiles.
Regularly access insurance portals to avoid inactivity or deactivation and keep provider directories and doctor locators current.
Negotiate reimbursements and explore ways to improve fee schedules or contracts with payers.
Review Explanation of Benefits (EOBs) from the billing vendor, verify accuracy, and resolve discrepancies proactively.
Serve as the liaison between the practice and billing company to resolve claim denials, delays, and mismatches.
Monitor claim trends and monthly revenue reports to detect anomalies or underpayments requiring investigation.
Assist with payer credentialing and provider enrollment during expansion to new locations.
Initiate autopay enrollment when applicable.

Who We’re Looking For

Experience specifically in optometry or vision insurance billing, including familiarity with providers like VSP, EyeMed, Davis Vision, and Spectera.
Hands-on experience with clearinghouse systems.
Proficient knowledge of optometry-specific CPT and ICD-10 coding.
Experience with insurance portals, accounts receivable management, and payer credentialing.
A leadership mindset with the ability to design systems suited for teams rather than individual contributors.
Excellent communication skills enabling collaboration across teams and external partners.
Self-motivated and comfortable working independently from a remote location.

Preferred Qualifications

Experience working with Trizetto software.
Familiarity with CrystalPM or other comparable electronic health record (EHR) platforms.

Work Schedule & Terms

This is an independent contractor position classified under 1099, offering flexible hours with an expectation of about 10 hours weekly initially. This workload will increase in alignment with practice growth.

Compensation

The starting rate for this role is $24 per hour.
