Overview
Stonehenge NYC is seeking a highly capable Assistant Property Manager to support the management of luxury residential rental buildings. Reporting to the Property Manager, this role involves comprehensive assistance in all aspects of property management, demanding strong communication, meticulous attention to detail, and exceptional customer service.
Key Responsibilities
- Prepare and organize bids and service contracts for property-related services.
- Lead regular property inspections to ensure maintenance and standards.
- Supervise and review performance of contracted service providers.
- Assist in managing building personnel and operations.
- Utilize accounting software to record, store, and analyze property data.
- Ensure processing of invoices with proper documentation according to established protocols.
- Coordinate tenants’ move-ins and move-outs, managing related logistical arrangements like furniture deliveries.
- Resolve vendor and payment discrepancies by accessing computerized financial systems.
- Maintain work and purchase order tracking systems.
- Update operational procedures manuals as directed by management.
- Act with authority in the absence of the Property Manager following company policies.
- Verify and maintain up-to-date certificates of insurance for tenants and vendors.
- Oversee processing and approval of staff hours, expenses, and payment requests.
- Support preparation of annual budgets and monthly financial statements.
- Draft and disseminate communications such as memos and notices to tenants and vendors.
- Ensure responses to all communications within 24 hours.
- Address tenant complaints promptly and manage nuisance issues effectively.
- Manage tracking of tenant move-outs, including damage assessments and key collection coordination.
- Adhere to the highest standards of professionalism, ethics, and conduct in all business dealings.
- Support ongoing operational tasks as necessary to maintain workflow and meet deadlines.
- Participate in meetings and collaborative groups to align activities, address issues, and comply with policies and regulations.
- Maintain strict adherence to safety procedures during all activities.
- Comply fully with company policies and standard operating procedures.
- Undertake special projects and assignments as directed by management.
Qualifications and Experience
- Prior experience in property management or related fields is essential.
- Capacity to multitask and prioritize duties efficiently.
- Exceptional verbal and written communication skills.
- Minimum education requirement is a high school diploma or GED; a Bachelor's degree is preferred.
- At least one year of experience in New York City residential rental property management is preferred.
- Proficiency in Yardi or comparable real estate accounting systems.
- Strong analytical and problem-solving abilities.
Work Environment and Schedule
- This position is full-time, working Monday to Friday from 9:00 a.m. to 6:00 p.m., with weekend on-call duties.
- The role requires travelling among various property locations during business hours.
- The work setting is a professional office environment utilizing common office equipment such as computers, phones, copiers, filing systems, and fax machines.
Compensation
The annual salary for this position ranges from $75,000 to $90,000.
