Role Overview
We are looking to expand our Ireland office with a highly organized and motivated Administrative Assistant. This full-time office-based role involves supporting certification activities across Halal certification and other conformity assessments including food safety, quality management, tourism, and healthcare sectors.
The position demands frequent communication with clients and partners in English and Arabic speaking markets, so fluency in both languages is essential. The successful candidate will manage certification-related administration, client assistance, document control, and general office duties.
Key Responsibilities
- Maintain document control, records, and ensure compliance-related processes are followed.
- Provide administrative support to technical reviewers and certification staff.
- Oversee daily office operations and administrative functions.
- Handle correspondence through mail, email, and telephone.
- Organize meetings, appointments, and travel plans.
- Prepare reports, presentations, and business documentation.
- Manage filing systems and control documentation rigorously.
- Coordinate office supplies and general office maintenance.
- Engage with clients, accreditation bodies, government agencies, and stakeholders in Ireland, the Middle East, and abroad.
- Assist with certification, inspection, and compliance administrative tasks.
- Adapt to additional responsibilities to support team and business needs.
Qualifications and Skills
- Fluency in both spoken and written English and Arabic.
- Strong communication and interpersonal abilities.
- Excellent organizational and time management skills.
- High attention to detail and accuracy.
- Ability to independently handle multiple tasks simultaneously.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

- Trustworthy and discreet with handling confidential information.
- Prior experience in administration, office management, customer service, or certification is advantageous.
- Legal authorization to work in Ireland is mandatory.
Preferred Credentials
- Academic degree in Food Engineering, Food Technology, Chemical Engineering, Biotechnology, Agriculture, Nutrition, Quality Management, Veterinary Sciences, Pharmacy, Healthcare Management, Business Administration, or related fields.
- Experience in food industry certification, quality assurance, food safety, healthcare, or regulatory compliance.
- Understanding of Halal certification procedures and food production operations.
- Familiarity with standards such as ISO 9001, ISO 22000, HACCP, FSSC 22000, GMP, GHP.
- Experience handling technical documentation, product specifications, ingredient analysis, or compliance audits.
- Background in conformity assessment organizations, certification bodies, inspection processes, or quality management systems.
- Valid driving license and willingness to travel occasionally within Ireland and internationally.
