Job Overview
The Simulator Coordinator is responsible for ensuring the efficient operation of simulator activities and managing training administration within the organization, adhering to all relevant regulations and procedures. This role provides essential support to the operations department by managing simulator bookings, schedules, and related administrative tasks.
Key Responsibilities
- Manage all aspects of simulator booking and administrative duties.
- Maintain detailed records of booking requests and confirmations, facilitating timely access arrangements.
- Create and modify simulator sessions within the booking system, communicating updates to relevant teams including Crew Planning, Crew Training, external clients, the Simulator Manager, and the Scheduling team.
- Perform administrative duties related to training such as drafting correspondence, managing databases, developing spreadsheets and presentations, and preparing reports and documents.
- Align simulator bookings with available resources to prevent scheduling conflicts and ensure accurate allocation.
- Keep simulator schedules and dashboards current.
- Coordinate bookings with third-party vendors and ensure integration of information within Air Arabia’s systems.
- Work collaboratively with Crew Planning and Crew Training departments to ensure bookings are aligned and resources scheduled appropriately.
- Communicate effectively with the Simulator Manager and Scheduling team regarding Aircraft on Ground (AOG) incidents and simulator downtimes, ensuring proper tracking and documentation.
- Develop the annual simulator utilization budget in collaboration with various Air Arabia hubs and the Academy.
- Monitor simulator usage, providing detailed monthly breakdowns for invoicing purposes.
- Liaise with customers to anticipate simulator requirements and optimize slot scheduling.
- Optimize long-term simulator usage through strategic planning.
- Handle sensitive contracts and financial information confidentially and with integrity.
- Monitor all simulator contracts, certifications, and renewal dates, issuing timely reminders to avoid expirations.
- Coordinate simulator assessments and logistics with the Simulator Manager and regulatory bodies.
- Align simulator maintenance schedules and flight-out requirements in coordination with the Simulator Manager.
- Assist the Operations Manager with additional tasks related to simulator bookings and record management as needed.
- Track and coordinate training resource availability to support session requirements.
Qualifications and Experience
- Bachelor’s degree in aviation management, business administration, or a related discipline.
- 1 to 3 years of experience in a comparable role, ideally within the aviation sector.
- Strong understanding of aviation industry practices and simulator functions, regulations, and procedures.
- Proficient in scheduling and resource management.
- Advanced Microsoft Excel skills for tracking, reporting, and planning.
- Excellent written and verbal communication abilities in English; knowledge of Arabic or other languages is advantageous.
- Ability to juggle multiple priorities, manage projects effectively, and meet tight deadlines in a dynamic environment.
- Strong problem-solving skills and a commitment to meeting business objectives and KPIs.
- Exceptional organizational capabilities to handle multiple simultaneous booking and resource requests.
