Role overview
This position is responsible for making sure that submissions from consultants, developers, and internal stakeholders are properly logged, reviewed, approved, stored, and easy to retrieve, all in line with AD Ports' document control procedures.
Core responsibilities
- Oversee document control workflows covering planning, architectural, engineering, and authority-related submissions.
- Ensure every document is entered, tracked, issued, and archived according to AD Ports' standards.
- Keep both digital and physical filing structures organized and up to date.
- Track document movement, review stages, and approval progress.
- Apply consistent numbering, revision management, and version tracking across all records.
- Distribute documents to internal teams, consultants, and authorities as needed.
- Support authority submissions by assembling and managing document packages and records.
- Prepare registers and status reports showing submission and approval progress.
- Check documentation for completeness, correctness, and traceability.
- Train project teams and consultants on document control procedures.
- Handle confidential information securely and responsibly.
- Maintain adherence to retention schedules and record-management rules.
- Use document control platforms and MS Office tools effectively.
- Manage large volumes of technical records efficiently.
- Understand and apply the full document lifecycle management process.
- Work with consultants and internal teams to ensure standard document practices are followed.
- Provide orientation to consultants so they can submit documents correctly.
- Supervise, train, and evaluate reporting team members.
- Monitor submission activity and resolve missing or incorrect documentation issues.
Requirements
- A degree in business administration or a related discipline is required; a master’s degree or equivalent is preferred.
- Strong written and spoken English is essential; Arabic is an advantage.
- At least 12 years of experience handling engineering master planning, architectural, and authority-related documentation across multiple disciplines.
- Minimum 5 years of local experience.
- Ability to manage technical documentation in a structured, compliance-driven environment.
