About the Role
The Receiving Clerk at Hyatt Place plays a vital role in ensuring that all goods and materials delivered to the hotel are accurately and promptly received in compliance with company standards. This position supports inventory accuracy, cost management, food safety adherence, supplier relations, and operational effectiveness by meticulously checking deliveries against purchase orders and maintaining comprehensive receiving documentation.
Key Duties and Responsibilities
- Accept and examine all inbound goods to the hotel, comparing deliveries with approved Purchase Orders, supplier invoices, and delivery notes to confirm accuracy.
- Perform quantity and quality assessments alongside user departments, identifying and reporting any shortages, damages, or quality concerns promptly.
- Collaborate with suppliers and purchasing teams to resolve any delivery discrepancies or shortages efficiently.
- Verify supplier invoices match physical deliveries and related documents.
- Process invoices by scanning, routing through approval workflows, and ensuring timely system entries.
- Keep precise receiving records and organize all supporting documents for compliance audits.
- Generate and review daily receiving reports, variance analyses, and shortage logs.
- Manage proper transfer and handover of received goods to appropriate departments.
- Ensure adherence to HACCP standards, food safety regulations, and internal policies, maintaining up-to-date and audit-ready receiving records.
- Communicate effectively with Purchasing, Stores, Accounts Payable, suppliers, and operational units to facilitate smooth hotel operations.
- Maintain an orderly, clean, and safe receiving area.
- Support ongoing process improvement initiatives and contribute to departmental goals.
Qualifications and Experience
- Bachelor's degree in Commerce, Finance, Accounting, Business Administration, Supply Chain Management, Hospitality Management, or a related discipline.
- At least two years of professional experience in Receiving, Procurement, Inventory Control, or Stores, ideally within the hospitality sector.
- Competent in Microsoft Office applications and familiar with inventory or procurement management systems.
