Job Overview
Our Dayton, NJ laboratory seeks a Project Manager Assistant to support the Client Services Team as a client liaison and advocate. This role works closely with Project Managers to manage sample orders, change orders, data review, and subcontracting activities, providing essential administrative and technical assistance to ensure smooth project execution.
Key Responsibilities
- Handle sample order processing for various sample types and arrange pickup and delivery of sampling materials and specimens.
- Implement client-directed change orders to adjust or augment original chain of custody requests.
- Conduct daily reviews of project data entered into the Laboratory Information Management System, requesting corrections when needed.
- Communicate any sample receipt issues to clients and provide technical assistance to resolve them.
- Administer subcontract testing requests to internal and external laboratories when the home lab cannot fulfill services.
- Oversee subcontracting operations and data management to guarantee timely report delivery to clients.
- Manage overflow client phone inquiries and provide support related to sampling, reporting, billing, and take messages for Client Services.
- Make and return phone calls as directed by project managers to support ongoing projects.
- Provide backup email and phone coverage for project managers in the functional group.
- Monitor turnaround times and punctual report submissions for team projects.
- Assist the login department during high volume periods or coverage needs.
- Perform other duties as assigned.
Qualifications
- Required: Associate degree or equivalent relevant experience with 0-1 year in science or customer service fields.
- Preferred: Bachelor’s degree in Environmental Science, Biology, Chemistry, or a related discipline with 1-2 years of applicable experience.
- Excellent verbal and written communication abilities.
- Proactive and self-motivated work approach.
- Advanced proficiency in English language and mathematical reasoning.
- Strong attention to detail and problem-solving skills.
- Experienced in using Microsoft Office applications including Excel, Word, and Outlook.
