Role Overview

The Logistics & Operations Coordinator plays a vital role within HATCH's supply chain, overseeing the daily processes involved in transitioning orders from food bank requests through producer pickup to final delivery. This position ensures effective communication with partners while maintaining accuracy and transparency of all shipments, invoices, bills, and related documentation. The role requires hands-on problem-solving in logistics, stakeholder coordination, and order management in a rapidly scaling environment. The coordinator will collaborate closely with food banks, producers, freight vendors, finance, procurement, partnerships, and leadership teams.

Key Responsibilities

  • Manage daily freight and logistics operations, including rate requests, tenders, appointment scheduling, and shipment monitoring.
  • Accurately enter orders and coordinate execution with producers and protein partners.
  • Serve as the primary contact for food bank partners to address operational or delivery inquiries.
  • Track bills of lading (BOL), proofs of delivery (POD), invoices, bills, and order confirmations.
  • Handle delivery exceptions, discrepancies, shortages, damages, rejections, and potential freight claims promptly.
  • Support weekly supply and demand planning along with operational reporting duties.
  • Maintain precise data accuracy in ERP, TMS, CRM, and shared tracking systems.
  • Develop and update standard operating procedures (SOPs) and continuously seek process improvements.

What Success Looks Like

  • Orders are processed precisely and fulfilled on schedule.
  • Current load statuses include updated ETAs, responsible owners, and necessary documentation.
  • Proactive and transparent communication keeps food bank partners well-informed, with swift resolution of issues.
  • Completion and correctness of all shipping and billing documents connected to the appropriate orders.
  • Delivery challenges are managed or escalated efficiently to avoid surprises.
  • Weekly planning and reports are up-to-date and ready to inform decisions.
  • Recurring challenges lead to the development of improved workflows, SOPs, and system enhancements.

Required Qualifications

  • A minimum of three years’ experience in logistics, freight coordination, order management, customer service, or related areas.
  • Familiarity with freight documentation such as BOLs, PODs, rate requests, tenders, appointment scheduling, and shipment tracking.
  • Strong communication skills for coordination with multiple internal and external stakeholders.
  • Demonstrated accuracy in order processing, document management, and follow-up.
  • Ability to calmly and effectively solve problems amid delivery exceptions and shifting priorities.
  • Proficiency in Microsoft Excel and aptitude for learning ERP, TMS, CRM, carrier, and finance software.
  • Ability to work onsite in Carmel, Indiana three to four days per week.
  • Associate’s or bachelor’s degree in supply chain, logistics, business, operations, or equivalent relevant experience.

Preferred Experience

  • Background in food, agriculture, manufacturing, distribution, cold chain logistics, nonprofits, or food bank environments.
  • Experience with ERP platforms, TMS, or freight rate management tools.
  • Operational reporting skills, such as Power BI experience.
  • Basic accounts payable, invoice reconciliation, or vendor billing capabilities.
  • Participation in freight claims handling, temperature-controlled shipments, or food safety documentation.
  • Experience refining SOPs or assisting in system implementation projects.

Compensation and Benefits

  • Annual base salary range: $50,000 to $60,000, dependent on experience.
  • Benefits include medical, dental, vision, retirement plans, paid time off, and other offerings subject to eligibility and current policies.

Work Arrangement and Schedule

This is a full-time, onsite position based in Carmel, Indiana, expecting work onsite three to four days per week. Occasional responsiveness outside normal hours may be necessary to address urgent delivery issues, with specific expectations clarified during the interview process.
