Cal Backflow is a licensed company specializing in backflow testing and repairs, serving water districts throughout San Diego County. We collaborate with property owners, Homeowners Associations, commercial facilities, and contractors to ensure water system safety and compliance. As a small, close-knit team, we take pride in our quality work and are currently expanding.
Role Overview
We are seeking a proactive and self-motivated General Manager/Office Manager to oversee daily operations remotely. This pivotal position requires a high level of trust and ownership. You will be responsible for building efficient systems, maintaining organization, and managing all daily operational tasks. This role demands full commitment and attention to all ongoing projects and moving parts within the business, including scheduling, customer communications, invoicing, compliance, and technician support.
Key Responsibilities
- Manage all customer communications, responding promptly to inbound calls and emails, qualifying potential clients, and collecting billing information.
- Ensure prompt follow-up on urgent jobs such as failed tests or water shutoffs within the same business day.
- Inform customers of test results and issue invoices using QuickBooks Online.
- Maintain consistent, professional, and courteous communications with both new and recurring customers.
- Organize and schedule all backflow testing and repair appointments using the company database and Google Calendar.
- Optimize technician routes geographically to reduce travel time and increase daily job totals.
- Assign jobs to technicians based on their expertise and availability.
- Dispatch daily job lists to technicians at the close of each workday via email.
- Monitor and update technician certifications, city business licenses, and state or county registrations to ensure timely renewals.
- Submit monthly pesticide usage reports to the County of San Diego Agricultural Commissioner accurately and promptly.
- Anticipate upcoming renewals and deadlines to prevent compliance lapses.
- Retrieve completed test data from Syncta and submit it to the proper water district portals (including SwiftComply, ECOS Connect, BSI Online, or by mail).
- Maintain knowledge of submission protocols for over 16 districts to meet all deadlines and prevent backlogs.
- Issue customer invoices immediately after job completion, ensuring accuracy in pricing, billing entities, and customer-specific details.
- Perform weekly bank reconciliations, verify mobile deposits, and monitor accounts receivable aging.
- Oversee bi-weekly payroll processing, verifying and approving automatic payments.
- Conduct regular supply checks with technicians, proactively ordering inventory to maintain truck stock.
- Source parts and materials online via platforms such as eBay, masterbuildermercantile.com, and Amazon to avoid high local supplier costs.
- Coordinate repair estimates, parts orders, and scheduling for re-tests following failed backflow inspections.
Compensation and Benefits
- Starting base salary of $90,000 annually, dependent on experience.
- Potential annual performance bonus up to 25% of base salary, linked to key metrics like timely submissions, efficient invoicing, accounts receivable health, and compliance standards. Bonuses are distributed quarterly based on a transparent performance scorecard.
