Role Overview
The Facilities Manager will oversee the overall office administration, including front desk management, mail handling, procurement related to facilities, and ensuring smooth office operations. This individual will organize meeting arrangements, welcome visitors, and provide general support to local leadership.
Key Responsibilities
- Lead coordination and supervision of all administrative functions at the site.
- Oversee office space and equipment maintenance and arrangement.
- Offer administrative aid to executives, such as arranging business travel and preparing expense documentation.
- Manage procurement of office supplies, furniture, and equipment aligned with company policies and budgets.
- Supervise upkeep of office machinery, including preventive maintenance for air conditioning, UPS, and fire safety systems through preferred vendors.
- Maintain relationships with cleaning service providers while ensuring compliance with HireRight's security and health and safety standards.
- Conduct workstation assessments (DSE) for new hires annually to comply with UK legislation.
- Assist the Director of Facilities in performing annual Health & Safety risk and fire assessments.
- Support the Environmental, Social, and Governance (ESG) team in gathering data on utilities, recycling, and waste management.
- Serve as primary contact for property management and handle escalations appropriately.
- Organize corporate events involving internal teams and external guests.
- Perform additional duties as assigned by management to support business operations.
Qualifications and Skills
- Minimum two years of experience in office management or administrative roles, with personal assistant experience advantageous.
- Familiarity with mail processing systems such as Pitney Bowes, FedEx, and UPS.
- First Aid and Fire Marshall certifications are preferred; however, training may be provided.
- Proficient in Microsoft Office, especially at an advanced level with PowerPoint and Excel.
- Strong interpersonal and communication skills.
- Capability to multitask and handle shifting priorities in a dynamic environment.
- Experience managing business travel bookings.
- Background in reception or front-of-house duties is beneficial.
