About the Role

Join a fast-expanding renewable energy firm based in Brisbane as a Document Controller. This pivotal position involves managing the flow and storage of documentation to support various project stages including development, construction, commissioning, and operations. Reporting directly to the Senior Operations and Controls Manager, you will oversee creating, approving, distributing, and archiving documents while ensuring compliance with company policies and regulatory standards.

Key Responsibilities

  • Develop, maintain, and update controlled documents ensuring their accuracy, traceability, and version consistency.
  • Administer organized electronic filing systems and supervise document workflows throughout their lifecycle.
  • Manage distribution and control access to sensitive documents, preserving confidentiality.
  • Ensure adherence to corporate, regulatory, and quality control standards, facilitating compliance audits.
  • Provide training to staff on document management procedures and software utilization.
  • Coordinate Requests for Information (RFIs), technical submissions, design changes, and transmittals with project teams.
  • Monitor project drawings and documentation revisions to assist in successful delivery and final handover.
  • Manage and optimize Electronic Document Management Systems (EDMS) such as SharePoint, inEight, Scenario, Procore, and Aconex ensuring alignment with ISO standards.
  • Support commissioning and operational documentation, including compiling Operations & Maintenance manuals, asset registers, and safety documents.

Candidate Profile

  • Minimum two years’ experience in document control or related administrative roles.
  • Meticulous attention to detail with excellent written and verbal communication skills.
  • Strong organizational skills enabling independent work and timely completion of tasks amid shifting priorities.
  • Proactive team player capable of handling confidential information responsibly.
  • A keen interest in sustainability and contributing to environmental goals.

Qualifications and Expertise

  • Associate or Bachelor’s degree in Business Administration, Information Management, or similar (highly recommended).
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and document management tools.
  • Experience with document management software such as SharePoint, inEight, Scenario, Procore, or Aconex is advantageous.
  • Knowledge of metadata standards, document numbering, version control, and governance frameworks.
  • Familiarity with construction, engineering, commissioning, or operational documents from infrastructure or energy sectors is a plus.
  • Understanding of industry standards and regulatory compliance frameworks like ISO and OSHA is beneficial.
