Job Overview
The Contracts Representative plays a key role in managing the timely processing, documentation, and dissemination of contracts and purchase orders (PO). This position ensures that all stakeholders remain well-informed and that records are meticulously maintained in a centralized database, supporting organizational compliance via accurate reporting and systematic archiving of documentation related to both contracts and purchase orders.
Key Responsibilities
- Preparation, summarization, and detailed documentation of contracts.
- Efficient processing and distribution of contracts to relevant parties.
- Overseeing purchase order management from initiation to completion.
- Systematic archiving of all contract and PO documents to maintain compliance standards.
- Generating reports and managing data within organizational databases.
- Maintaining effective communication and coordination among stakeholders throughout contract and PO lifecycles.
Qualifications and Experience
- Possess a Bachelor's degree in Business Administration or a related discipline.
- Professional certifications in contract management or procurement are advantageous.
- Have between one to three years of relevant experience in contract administration, purchase order processing, or procurement roles.
- Experience working with government portals such as ETIMAD and NUPCO is preferred.
- Familiarity with the healthcare or medical device sectors is a plus.
Skills and Competencies
- Exceptional attention to detail and commitment to accuracy in documentation.
- Strong capability in managing time and meeting stringent deadlines.
- Proficient in Microsoft Office Suite including Excel, Word, and Outlook, along with database management systems.
- Excellent bilingual communication skills in Arabic and English, both written and verbal.
- Ability to perform effectively under pressure while handling multiple priorities.
- Collaborative team player demonstrating strong coordination and follow-up abilities.
- Knowledgeable about contract terms, purchase order procedures, and procurement processes.
