About KPMG and the Contingent Labour Office (CLO)

KPMG in Canada fosters a workplace where unique perspectives tackle key national challenges. Employees develop future skills and take ownership of their career with comprehensive support. The Contingent Labour Office (CLO) partners with business units to streamline and improve the engagement of external resources while balancing risk and commercial considerations. CLO achieves this by leveraging specialized workforce practitioners, acting as strategic advisors, and ensuring a customer-focused approach that supports hiring managers and external resources effectively.

Role Overview

As a Contract Specialist reporting to the National Leader of CLO, you will manage all contract-related processes for external resources across Canada — from onboarding and active contracts through renewals and departures. This responsibility includes handling over 1000 external resource engagements annually, ranging from individuals to large organizations. You will contribute significantly to operational excellence by enhancing workflows, technology integration, and documentation.

Key Responsibilities

  • Advise and support hiring managers by applying your technical expertise in engaging external resources essential to project delivery.
  • Use available technology tools to enhance CLO process efficiency and user experience.
  • Drive process optimization and maintain accurate, up-to-date documentation for relevant stakeholders.
  • Build and promote CLO’s internal brand through a customer-centered approach, participating actively in stakeholder interactions.
  • Conduct initial intake consultations with senior hiring managers and provide training on vendor management systems.
  • Manage case information by gathering, analyzing, and interpreting data for external resources, including due diligence like background checks and business verification.
  • Keep stakeholders regularly informed on case progress and advise on appropriate actions.
  • Maintain information in shared records for reporting, analytics, and audit compliance.
  • Identify and flag complex cases that require additional attention.
  • Collaborate with teammates and respond promptly to inquiries via the functional mailbox or inbox.
  • Lead or support ongoing process improvements by assessing issues, proposing changes, and managing change implementation.
  • Maintain SOPs, templates, and knowledge articles while educating procurement, HR, and related teams on updated procedures.
  • Stay knowledgeable about contingent workforce legislation, policies, and best practices.

Required Qualifications and Skills

  • 3 to 5 years' relevant experience in case management, preferably with agency, staffing firm, or contingent workforce exposure.
  • Excellent written and oral communication skills in English; French bilingualism is preferred.
  • Proven ability to engage with multiple stakeholders, including senior leadership, contractors, and subject matter experts.
  • Exceptional attention to detail and ability to manage high volumes of complex work in a fast-paced team environment.
  • Strong organizational skills with the capacity to balance competing priorities.
  • Commitment to delivering timely, high-quality service and documentation consistently.
  • A focus on continuous improvement and efficient operations, capable of conducting impact assessments.
  • Experience working with various technologies, including vendor management systems such as Flextrack or Beeline, and proficiency in MS Office with an emphasis on Excel.
  • Familiarity with ServiceNow is an advantage.
  • Post-secondary education in a relevant field (college or university degree).
