About the Role

Wade Litigation, a growing law firm based in California, is seeking a Client Onboarding Success Agent to enhance the client experience from the moment they engage with the firm. This position is fully remote, preferably for candidates in California, and focuses on delivering an impeccable onboarding process that assures clients feel well-informed, supported, and confident throughout their legal journey.

Key Responsibilities

Manage the onboarding process for new clients, ensuring clarity and guidance at every stage.
Conduct onboarding calls to explain procedures and address client inquiries.
Collect and verify necessary documents, records, and information to initiate legal matters.
Ensure completion and accuracy of engagement agreements, authorizations, and intake forms.
Monitor the progress of onboarding and proactively follow up to mitigate any delays.
Maintain precise client records using CRM and case management systems.
Collaborate with attorneys, paralegals, and operational staff to guarantee smooth case transitions.
Identify and resolve missing information before matters are assigned to legal teams.
Provide clients with timely updates to establish clear expectations.
Handle onboarding challenges with empathy, professionalism, and urgency.
Track onboarding metrics and suggest improvements to enhance process efficiency.
Adhere strictly to confidentiality policies and legal compliance requirements.

Qualifications

Minimum of 3 years' experience in client success, onboarding, legal intake, customer experience, or account management.
Experience within law firms or the legal services sector is highly preferred.
Excellent verbal and written communication skills.
Strong emotional intelligence and ability to quickly foster trust.
Highly organized with superior follow-up capabilities.
Adept at managing multiple clients simultaneously while maintaining attention to detail.
Proficient in CRM or case management software (e.g., Practice Panther, Dropbox, Salesforce, JustCall, Moxtra, or equivalents).
Tech-savvy with the ability to quickly adapt to new systems.
Self-driven and capable of succeeding independently in a remote work environment.
