Role Overview and Responsibilities
- Deliver high-quality administrative assistance including calendar and travel management, meeting coordination, document preparation, and managing inbox communications to support effective client service delivery.
- Provide overflow administrative assistance to the Hamilton office during busy periods fostering a unified team dynamic across Tauranga and Hamilton locations.
- Serve as the first professional point of contact for clients and visitors at the Tauranga office ensuring a welcoming and seamless front-of-house experience.
- Maintain meeting rooms and client areas to Deloitte’s professional standards, ensuring these spaces are orderly, clean, and ready for use.
- Coordinate client hospitality needs, including organizing refreshments and supporting meeting requirements to enrich client interactions.
- Assist with logistics and execution of client events, workshops, and internal functions, managing catering, room setups, scheduling, and on-site coordination.
- Identify and propose improvements for administrative processes to increase efficiency across teams.
- Support client onboarding procedures and general operational tasks to ensure smooth and consistent experiences for both clients and internal teams.
- Collaborate with the broader administrative team to balance workload, adapt to shifting priorities, and provide versatile support as necessary.
Qualifications and Skills Required
- Previous experience in administration, front-of-house duties, hospitality, or event coordination, preferably within a corporate or professional services setting.
- Excellent organizational and time management abilities capable of juggling multiple priorities across various teams and locations.
- Strong interpersonal skills to confidently engage with stakeholders at all levels and deliver polished client experiences.
- Proven skills in supporting meetings, event logistics, and client hospitality with meticulous attention to detail.
- A proactive approach with an aptitude for anticipating needs, suggesting improvements, and taking responsibility for tasks.
- Effective communication and teamwork skills to foster productive working relationships across organizational units.
- Competent use of Microsoft Office applications including Word, Excel, PowerPoint, and Outlook in a fast-paced and changing environment.
- A commitment to professionalism, quality, and detailed execution in all responsibilities.
