Role Overview
We seek a Bilingual Document Specialist to join our team, working remotely from any of our key regional offices. This role demands at least two years of document management experience and involves supporting the entire firm by creating and formatting legal and other documents, with attention to detail in spelling and grammar correction.
Work Schedule
- Weekday Evening Shift (Bilingual English/French): Monday to Friday, 6:00 p.m. – 2:00 a.m. ET
- Weekday Evening Shift (Unilingual): Monday to Friday, 5:00 p.m. – 1:00 a.m. ET
- Weekday Afternoon Shift (Unilingual): Monday to Friday, 12:00 p.m. – 8:00 p.m. ET
- Weekend Overnight Shift (Bilingual English/French): Friday to Sunday, 8:00 p.m. – 6:00 a.m. ET
All shifts are fully remote.
Key Responsibilities
- Prepare various documents via typing, transcription, scanning, and other methods, including style conversions, mail merges, media insertion to presentations, indexing, developing tables and graphs, and using graphic tools.
- Proofread and verify document formatting, grammar, spelling, clarity, and accuracy of revisions, including document version comparisons and correction of corruption.
- Acquire and apply knowledge of firm procedures for document creation using official precedents.
- Respond swiftly to requests, adhere to deadlines, and collaborate effectively across departments.
- Utilize advanced word processing skills to manage complex legal and other documentation.
- Adjust workload proactively during fluctuating demands with minimal supervision.
- Conduct self-quality control, seek clarification as needed, and review peer work when required.
- Support and mentor team members as necessary.
- Handle intake, prioritization, and coordination of document production and support requests.
- Provide firm-wide document support, employing Microsoft applications such as Word, Excel, PowerPoint, and Visio.
- Maintain logs for document support inquiries via calls, emails, voicemail, and in-person visits.
- Manage escalations and retain accountability for document production support issues while updating knowledge base resources.
- Review current support procedures and suggest improvements when appropriate.
- Perform other duties as assigned.
Candidate Profile
- Post-secondary certificate in office administration, legal studies, or related discipline.
- At least 3 years of professional experience, with document production background valued.
- Familiarity with legal terminology, documents, and procedures is advantageous.
- Advanced skills in Microsoft Office suite, including Outlook, Word, Excel, and PowerPoint.
- Strong interpersonal communication and telephone etiquette, able to engage clients respectfully and effectively.
- Competence in transferring knowledge clearly using varied instructional methods and software.
- Displays patience, flexibility, and effective management of challenging scenarios.
- Highly organized with keen attention to detail and excellent proofreading capabilities.
- Personable demeanor with ability to maintain composure under pressure.
- Well-developed analytical and problem-solving abilities, capable of devising innovative solutions.
- Flexibility to adjust to varying shifts during weekdays, weekends, and statutory holidays as applicable.
- Self-starter, confident making daily work decisions while knowing when to seek guidance.
- Typing speed between 80-100 words per minute.
- Fluent bilingualism in English and French is mandatory.
