Job description

Role Overview

We are seeking a highly capable Administrative Assistant to join our expanding company that supports the Civil Construction Industry, based in our Mosgiel Office. The ideal candidate will be detail-focused, organized, and proactive, possessing strong accounting and administrative expertise.

Key Responsibilities

  • Efficiently manage accounting software such as Xero to maintain precise financial records.
  • Oversee accounts receivable and payable operations, ensuring prompt invoicing, payments, and account reconciliation.
  • Deliver comprehensive administrative support including scheduling, correspondence handling, and document management.
  • Effectively prioritize duties and manage time to consistently meet deadlines.
  • Ensure high levels of accuracy in all financial and administrative assignments.
  • Collaborate closely with team members to further company objectives and support ongoing projects.

Candidate Qualifications

  • Demonstrated experience with Xero and a strong enthusiasm to learn and enhance systems and workflows.
  • Proven background in handling accounts receivable and accounts payable functions.
  • Competent use of Microsoft Office suite including Word, Excel, and Outlook.
  • Experience working with large data systems and CRM platforms is advantageous but not mandatory.
  • An understanding of heavy vehicles is desirable though not a requirement.
