About Sanctuary Early Learning Adventure
Sanctuary Early Learning Adventure is a family-owned organization dedicated to early childhood education and care, operating six centers located in Ashmore, Buderim, Highfields, Southport, Maudsland, and Redlynch across Queensland. The group supports over 200 employees and their families with strong backing from a responsive Head Office team based at the Smith Collective in Southport.
Role Overview
The organization seeks a knowledgeable Accounts & Payroll Officer to join its Head Office team. This role involves hands-on management of comprehensive accounts and payroll functions within a cooperative and team-oriented setting. Responsibilities span across payroll processing, accounts payable and receivable management, cash flow forecasting, and general office administration duties.
Primary Responsibilities
- Manage end-to-end payroll for more than 200 employees across six centers on alternate fortnight schedules, including Single Touch Payroll (STP) reporting and managing superannuation payments.
- Process supplier invoices, handle payments, and perform reconciliations for accounts payable.
- Oversee fee collections, follow-ups, and reconciliations for accounts receivable.
- Reconcile bank and credit card accounts accurately.
- Prepare cash flow projections to aid in financial planning.
- Support month-end closing procedures and maintain precise financial records.
- Keep updated on Children's services award wage changes and compare approved versus expensed wages for leadership reporting.
- Carry out general administrative tasks supporting the Head Office staff.
Candidate Requirements
- High proficiency with Xero accounting software.
- Demonstrated expertise in payroll management, including STP compliance.
- Experience with accounts payable and receivable functions.
- Ability to develop cash flow forecasts.
- Strong detail orientation, confidentiality, and ability to meet deadlines consistently.
- Proficient in Microsoft Office suite - Word, Outlook, Excel, and PowerPoint.
- Preferred but not mandatory: Familiarity with OWNA childcare software payroll processing and Keypay software.
- Knowledge of the childcare sector, including Child Care Subsidy (CCS) and Kindy Funding, is advantageous.
- Previous experience working in multi-site organizations or similar environments is beneficial.
Employment Details and Benefits

- Wage is flexible and dependent on experience.
- Work schedule is four days per week, Monday to Friday from 8:00 am to 4:30 pm.
