Job Summary
The Surgical Assist Coordinator is essential for coordinating surgical assist providers and delivering outstanding patient experience and customer support. This remote role demands strong analytical thinking, keen attention to detail, advanced problem-solving abilities, excellent communication skills, and a patient-centered approach. Candidates should perform well under pressure and efficiently handle complex schedules using sophisticated Microsoft Excel reporting and workflow tools.
Key Responsibilities
- Serve as the primary contact for all surgical assist coverage communications across designated markets.
- Understand and apply specific market dynamics to effectively manage surgical assist coverage.
- Develop strong relationships with clinical leaders in each market to support staffing needs.
- Identify scheduling conflicts proactively and propose multiple resolution options using analytical skills.
- Evaluate urgent coverage situations independently, escalate matters when needed, and communicate decisions transparently.
- Guide clinical managers on prioritizing coverage requirements and provide support for staffing arrangements.
- Handle urgent schedule changes and add-ons, ensuring effective communication to all parties involved.
- Coordinate with surgeon offices to gather accurate and complete case information.
- Act as the main internal scheduling liaison.
- Maintain accurate surgeon scheduler contact information in USMON/Salesforce and support weekly case confirmations.
- Engage surgeon offices during peak periods to identify unscheduled procedures and offer assistance.
- Support educational initiatives with Direct Patient Billing teams and assist in onboarding new customers to scheduling systems.
- Strengthen professional relationships with surgeon offices to improve service delivery and customer satisfaction.
- Track and analyze case volumes, utilization rates, and cancellation trends, generating relevant reports.
- Manage surgeon additions to USMON/Salesforce and coordinate coverage assessments for new customer requests.
- Assist clinical managers with onboarding new surgeon office staff and support designated clinical operations projects.
- Support Revenue Cycle Management and scheduling teams by collecting and verifying patient demographic and insurance data.
- Monitor surgical procedure details and durations for accurate coverage planning.
- Utilize advanced Excel capabilities to create reports, examine workflow trends, and recommend process enhancements.
- Maintain precise data within scheduling software and EMR platforms to ensure smooth workflow execution.
Required Skills and Qualifications
- Minimum 3-5 years experience in surgical scheduling or healthcare administration roles.
- Proficiency in Microsoft Office suite, especially advanced Excel functions like filtering, sorting, and formula use.
- Experience with scheduling software and electronic medical records (EMR) systems preferred.
- Excellent verbal and written communication skills with professional interaction abilities.
- Strong multitasking, organizational, problem-solving, and analytical capabilities to operate in a fast-paced environment.
- Customer-focused approach demonstrating patience and empathy.
- High school diploma or equivalent; additional certification or coursework in medical office administration or healthcare management is advantageous.
- Previous experience in medical offices or healthcare settings, especially surgical coordination, is a plus.
- Ability to maintain a professional appearance and regular attendance.
Physical and Work Conditions
