Supply Chain Analyst

Role Overview

Davies Supply Chain is establishing a new operating model to manage IT asset procurement and contract renewals. This position is dedicated to sustaining project asset management and contract renewals activities continuously, reporting directly to the Asset and Renewals Team Lead.

Key Responsibilities

• Handle all project-related software and hardware requests, ensuring licensing and asset tracking is accurately updated in the asset register.
• Forecast project material requirements and communicate these needs with suppliers.
• Create detailed reports to inform projects about stock levels, delivery statuses, and tracking information.
• Coordinate with project teams and external vendors to resolve queries efficiently.
• Participate in meetings with suppliers and internal stakeholders to align project expectations and manage requirements.
• Address and mitigate project escalations to reduce risks affecting delivery timelines.
• Oversee rapid integration stock to maintain availability per forecasted demand.
• Respond to and manage procurement service tickets via the ServiceNow platform, providing regular updates to end users and maintaining adherence to SLAs.
• Initiate purchase orders through the Purchase-to-Pay (P2P) system.
• Drive reductions in IT contract renewal expenditure compared to budgets.
• Administer vendor invoice reviews, ensuring compliance with terms and accuracy.
• Support vendor onboarding and upkeep of procurement documentation including contracts and vendor data.
• Manage full supply chain operations including purchase order processing and contract administration.
• Function as the main liaison for internal and external stakeholders on supply chain matters, resolving inquiries, and facilitating smooth operations.
• Generate analytical reports on procurement metrics such as spend, vendor performance, and cost savings to inform strategic decisions.
• Stay abreast of regulatory updates, market changes, and emerging technologies influencing procurement and supply chain processes.
• Support IT asset management audits and assessments, delivering required documentation and reports on usage, compliance, and financial impact.
• Work closely with IT, finance, and procurement teams to ensure accurate financial tracking of assets, including budgeting and forecasting.
• Continuously improve asset management processes to increase efficiency and accuracy, with a smooth transition to business-as-usual teams for ongoing requirements.
• Manage all stages of IT hardware asset lifecycles including procurement, deployment, auditing, and retirement while maintaining detailed asset records.
• Supervise software asset lifecycle activities involving license management, compliance audits, procurement, deployment, and renewal coordination.

Skills, Knowledge and Expertise

• Experience managing ITSM ticketing systems, preferably ServiceNow.
• Strong customer service and service management capabilities.
• Familiarity with Purchase-to-Pay (P2P) systems and purchase order requisition processes.
• Proven ability to monitor and report on service level agreements (SLAs).
• Experience optimizing end-to-end workflows.
• Excellent stakeholder engagement and communication skills to relay project updates and gather information effectively.
• Understanding of IT infrastructure including hardware, software, and telecommunications.
• Basic budgeting knowledge and financial acumen.
• Familiarity with commercial contract terms.
• Proficiency in data analysis and Excel for report generation.
• Integrity and transparency in interactions with internal teams and external suppliers.
• Experience with procurement systems such as Coupa is advantageous.
• Result-oriented mindset with a willingness to challenge existing norms.
