Role Overview
The Payroll Systems Analyst holds responsibility for administration and technical support of payroll and timekeeping systems, ensuring accurate reflection of organizational policies, union agreements, and tax compliance within the technical infrastructure.
Key Responsibilities
- Complete the entire payroll process, including validation of data, analyzing discrepancies, and ensuring punctual wage distribution.
- Support management with custom projects and reports using Cognos tools and various data views covering labor, deductions, historical, and forecast data.
- Collaborate with the payroll team to address intricate payroll questions and resolve employee and management issues.
- Manage configuration and operational settings of UKG Workforce Management system, including pay rules, schedules, attendance, and hyperfinds.
- Identify inefficiencies in payroll systems, develop automated workflows, and reduce manual interventions.
- Lead user acceptance testing and verification of software changes, patches, and tax updates.
- Prepare necessary audit documentation and data for both internal and external financial examinations.
- Provide Tier 2 technical support for payroll operations, liaising with HR, IT, and Finance teams, and developing user guides and training materials for updates.
- Cross-train in related payroll functions such as tip pools, commissions, basic timekeeping, and reporting.
- Perform additional tasks as assigned by management.
Qualifications and Experience
- Minimum age of 18 years.
- At least 3 years of payroll-related experience, or 5 years substituting relevant work experience for education.
- Bachelor’s degree in Accounting, Business Administration, or similar fields preferred.
- Possession of Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) credentials.
Skills and Knowledge
- Proficiency with Google Suite and Microsoft Office, especially Excel (including VLOOKUP/XLOOKUP, pivot tables, formulas) and Word.
- Experience configuring complex payroll software, such as Workday or UKG, and knowledge of HRIS analytics.
- Strong understanding of payroll tax regulations, wage-hour laws, and payroll accounting standards.
- Ability to work independently, handle multiple priorities, and meet deadlines.
- Maintain confidentiality of sensitive employee and organizational data.
- Familiarity with database reporting tools and basic SQL query writing is advantageous.
- Hands-on experience with system implementations or migrations.
Physical and Job Demands
- Standing, walking, bending, stooping, and climbing stairs occasionally (under 33% of the time).
- Frequent sitting (34-66% of the time) and hand-eye coordination.
- Constant finger dexterity required (more than 67% of the time).
- Occasional lifting up to 10 pounds.
- Visual acuity necessary for close detail work, including computer and ledger tasks.
- Verbal communication skills required for detailed information exchange by phone or in person.
