About the Role
A manufacturing company serving international markets in Canada is looking for a highly organized and proactive Office & Logistics Manager. This role demands a hands-on leader who can effectively manage office administration, shipping, freight logistics, inventory control, and daily operational tasks within a fast-paced production environment. The ideal candidate will bring strong experience in freight and shipping management coupled with operational coordination skills and leadership capability to enhance efficiency and ensure seamless service delivery.
Key Responsibilities
- Supervise daily office functions to maintain an orderly, efficient, and professional workspace.
- Handle procurement of office supplies, upkeep, and provide general administrative support.
- Manage company mail, banking tasks including deposits, and regular remittances such as CRA and WSIB payments.
- Organize filing systems for invoices, packing slips, shipping documents, and company records ensuring proper scanning and electronic storage.
- Implement and enforce company procedures, workplace protocols, and operational standards across departments.
- Assist management with administrative coordination and operational reporting.
- Identify opportunities and apply process improvements to enhance office workflows and efficiency.
- Oversee coordination of domestic and international shipments including sales orders, parts, samples, and warranty items.
- Verify shipping details and documentation to ensure accuracy before dispatch.
- Prepare all shipping paperwork including bills of lading, packing slips, shipment labels, customs forms, and W-9s ensuring compliance.
- Arrange freight bookings, courier pickups, and scheduling utilizing shipping portals and carrier systems.
- Track shipments, proactively address delays or issues, and liaise with freight and courier representatives regarding exceptions.
- Notify customers and stakeholders with timely shipment updates and resolve any related issues.
- Maintain organized and accurate shipment records digitally.
- Monitor purchase orders, shipping schedules, and fulfillment timelines for operational consistency.
- Troubleshoot and resolve shipping and logistics challenges efficiently.
- Supervise receiving activities, validating incoming deliveries against shipping documents.
- Ensure inventory receipt processing is documented accurately in systems and support inventory control activities including replenishment and backorder monitoring.
- Manage outgoing shipments ensuring proper packing, labeling, documentation, and timely dispatch.
- Collaborate with warehouse, production, and sales teams to optimize order fulfillment and inventory movement.
- Partner with production, warehouse, sales, finance, and management teams to maintain smooth operations and high accountability.
- Support prioritization, deadline management, and workflow coordination in a dynamic manufacturing setting.
- Assist with training and supervision of administrative and shipping staff as needed.
- Encourage effective communication and collaboration internally and with external partners.
- Perform additional assigned operational tasks and special projects as directed by management.
Qualifications
- At least 5 years of direct experience in freight forwarding, logistics, shipping, transportation, or supply chain roles with exposure to office management or operations administration.
- Proven expertise managing office functions alongside freight coordination, shipping logistics, inventory control, and operational workflows.
- Familiarity with shipping portals, ERP or inventory management software, and standard business office applications.
- Demonstrated ability to juggle multiple priorities with precision, strong organizational and detail-oriented skills.
- Excellent leadership, problem-solving, communication, and coordination abilities.
- Capable of independent decision-making and thriving in a fast-paced environment.
- A record of reliability, accountability, and leadership in operations and logistics roles.
